Full Description

A small Seattle-based architectural design firm is accepting applications for a fulltime, hybrid Bookkeeper / Office Manager. Significant experience in a similar position preferred, and proficiency in the use of QuickBooks, and Microsoft Excel & Word is mandatory. Experience with BQE and/or Paycom helpful. Applicants must be detail oriented, and an undergraduate degree in accounting is preferred. Must be able to work independently (with minimal direction) and not be afraid to troubleshoot any issue that may come up. Summary of responsibilities include: • Bookkeeping – to include, but not limited to: client invoicing; cash disbursements/accounts payable; cash receipts/accounts receivable/bank deposits; bank reconciliation; journal entries; process bi-weekly payroll & employee reimbursable expenses; enter time sheet info into accounting system; maintain all necessary employee, vendor, consultant, customer information; quarterly payroll tax reporting – including 940/941 forms; monthly WA DOR B&O filings; quarterly city business license returns; BG2 Now reporting; preparation of monthly financial reports; issuance of year-end 1099s & W-2s; and preparation of reports & documentation for year-end tax filings (by outside CPA). • HR Administration – to include, but not limited to: administer payroll services; employee records – including WA DSHS reporting; manage and coordinate the creation, collection and processing of staff timesheets; manage and process 401(K) and health insurance benefits; maintain employee handbook and update as necessary; manage employee PTO; manage and administer the new-hire & termination process. • Office Management – to include, but not limited to: distribute/process incoming mail; make necessary travel arrangements, order supplies and coordinate with vendors & suppliers; • Project Administration, Reporting & Accounting – to include, but not limited to: assist with fee proposals; coordinate and manage the execution and administration of both Client & Sub-Consultant agreements; administer project set-up, project budgeting & reporting; and administer contract tracking. • Communication & Correspondence – responsible for communication and correspondence with staff, clients, sub-consultants, vendors, service providers, etc. – as it pertains to your areas of responsibility; and receive visitors, incoming phone calls.
