Job Summary The Operations Administrator will provide high-level administrative support to multiple senior leaders in our New York City office, as well as to the NYC-based members of the Clinical Operations department. This individual will play a key role in ensuring seamless day-to-day operations and supporting the broader NYC team’s administrative needs. The ideal candidate is organized, proactive, and thrives in a fast-paced environment. They should be comfortable managing multiple priorities, meeting tight deadlines, and maintaining a high level of professionalism and attention to detail in all communications. This is a hybrid position which will report to the Chief of Staff or above. This person will be expected to work on average three days (occasionally 4) per week on site in our New York City office, based on business needs. Key responsibilities include but are not limited to: • Provide comprehensive administrative support to senior members in the NYC office and Clinical Operations team, including calendar management and scheduling. • Coordinate and provide logistical support for meetings, interviews, conferences, and company-wide initiatives. • Manage expense reporting, office supply inventory, and other administrative functions as necessary. • Support CEO in board meeting preparation and calendar management • Serve as the primary point of contact for all office administration and day-to-day operational logistics. • Liaise with IT service providers to ensure seamless technical support and infrastructure functionality. • Oversee scheduling and readiness of office meeting spaces • Maintain general office upkeep, ensuring a professional and efficient work environment including kitchen stock, cleanliness and organization. • Improve current processes and coordinate organizational procedures for optimized efficiency and productivity • Manage NYC office supply inventory and procurement. • Manage office visitors and access, along with coordination between other Orchestra BioMed offices • Support HR functions, including interview coordination, onboarding logistics, and candidate communication. • Lead planning and execution of office events, team-building activities, and company-wide celebrations. • Coordinate on-site clinical meetings including logistics, food & beverage, and accommodations, including end of month expense reporting for these events • Collaborate with senior staff on company gift initiatives and branded merchandise distribution. • Perform additional administrative responsibilities as needed, supporting cross-functional team operations. • Other tasks may be assigned based on business needs and incumbent's skillset Qualifications – Knowledge & Skills & Personal Characteristics: • Bachelor’s Degree and 2+ years of experience as an administrative assistant supporting multiple senior executives or equivalent experience. • Based in New York City with the ability to work onsite 3-4 days per week • Highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment. • Exceptional time management, interpersonal and communication skills (written and verbal) • Proficient in Microsoft Office Suite and comfortable learning new software and systems. • Professional, polished and personable with the ability to interact effectively with colleagues, leadership and external partners. • Proactive problem solver who demonstrates flexibility, resourcefulness and a positive attitude • Collaborative team player with an outgoing and creative personality • Willing to take initiative and fill in gaps as business needs arise • Ability to travel up to 10% of time based on business needs • Able to lift up to 20 pounds as needed for office setup and/or event support A current US work authorization is required in order to be employed by Orchestra BioMed.
