Description: This role serves as a specialist and requires a blend of technical and project management skills, strategic thinking, and the ability to engage in cross-functional collaboration while independently completing assigned projects. In addition, the Administrative Analyst serves as a backup to the Special Projects Coordinator. The Administrative Analyst uses their technical skills to streamline current business practices through the implementation of technological solutions. This position requires advanced knowledge of business and project related software such as Smartsheet, Excel, Project, etc. to assess and recommend strategic solutions to streamline existing processes and workflows. The Administrative Analyst uses their project management skills to create implementation plans, leverages their ability to collaborate across functions to implement new workflows, and develop status and outcome reports. This includes the ability to independently develop, implement, and monitor the processes. This position uses knowledge of data analytics and tools such as PowerBI, Tableau, Excel, etc. to develop and maintain visualized data representations of OCS service delivery and strategic plan outcomes to be used as part of the continuous quality improvement process. The Administrative Analyst supports the Board of Directors by developing agendas, organizing various meeting details, drafting correspondence, and maintaining detailed meeting minutes and records for the Board of Directors and President and CEO. Attends all Board, Committee, and Sub-Committee meetings and ensures that minutes are transcribed to official records and that all official Board records are maintained and properly secured. Major Responsibilities: Project Planning and Management • Develops comprehensive project plans, including scope, timelines, milestones, and resource allocation. • Coordinates project activities, ensures alignment with organizational goals, and manages budgets effectively. • Conducts research, compiles data and prepares reports to assist in decision making. Stakeholder Coordination • Works closely with internal teams, external partners, and clients to define project requirements and expectations. • Facilitates communication between stakeholders and provides regular updates on project status. • Demonstrates a commitment to diversify, equity, and inclusion through continuous development, modeling inclusive behaviors, and proactively managing bias. Analysis and monitoring or projects • Conducts analysis to support project development. • Identifies and assesses potential risks and develops strategies to mitigate them. • Monitors project progress and adjusts plans as necessary to address challenges and ensure successful outcomes. Reporting and Documentation • Prepares and presents detailed project reports, including agendas, meeting minutes, progress updates, and key performance metrics for completion of projects. • Maintains accurate project documentation and ensures compliance with organizational standards. • Ensures all submitted documentation is free of spelling and grammatical errors. Problem Solving • Proactively identifies issues and obstacles affecting project performance and develops effective solutions. • Utilizes problem-solving skills to navigate complex situations and drive project success. • Leverages knowledge of technology to create organizational efficiencies. Specialized Knowledge • Applies expertise in relevant areas (e.g., technology, finance, marketing) as needed to support project objectives. • Exercises discretion in all communication and interactions involving confidential information, ensures that sensitive information is confidential and cannot be shared. Requirements: QUALIFICATIONS: • Strong knowledge of project management methodologies and tools (e.g., Agile, Scrum, MS Project). • Excellent organizational and time-management skills, with the ability to manage multiple projects simultaneously. • Exceptional communication and interpersonal skills, with a proven ability to work effectively with diverse teams, ability to anticipate problems and bring solutions. • Analytical mindset with strong problem-solving capabilities. • Advanced to Expert ability to utilize relevant software or tools – e.g., Microsoft Office Suite, Smartsheet, etc. Education and Experience: • Bachelor's degree in Business Administration, Project Management, or a Bachelor's degree in another field and a Project Management Professional (PMP) certification. • At least 1-2 years of experience in project management • Demonstrated ability to leverage technology to create administrative efficiencies.
