Full Description

Overview The Associate Media Planner plays an integral role in the execution and management of pharmaceutical and healthcare advertising campaigns. This position supports media planning operations, ensuring all campaigns are efficiently executed, contractually compliant, and financially reconciled. Working closely with media planners, social media teams, vendors, procurement, and internal stakeholders, the Associate Media Planner manages RFPs, contracts, campaign setup, vendor coordination, and billing processes. Type: Contract Schedule: Regular business hours M-F Duration: 2 years / 24 months Pay: $28 - $30/hr, paid weekly, benefits eligible Associate Media Planner Requirements • Bachelor’s degree in Marketing, Advertising, Communications, or a related field • 1+ years of experience in media planning, buying, healthcare marketing, or pharmaceutical advertising (agency experience strongly preferred) • Foundational knowledge of media channels, campaign workflows, and vendor management • Strong analytical and organizational skills with high attention to detail • Working understanding of billing, invoicing, and financial reconciliation processes • Ability to manage multiple documents, timelines, and priorities simultaneously • Familiarity with pharmaceutical marketing regulations and internal compliance documentation (e.g., NPP workbooks) • Proficiency in Excel and comfort using media planning tools, trackers, and shared systems • Excellent communication and relationship-building abilities across internal and external teams • Self-starter who thrives in collaborative, fast-paced environments Associate Media Planner Duties • Manage vendor RFPs, collect and organize data, evaluate proposals, and assist in final vendor selection • Coordinate the media contracting process, including drafting insertion orders, tracking edits, and collaborating with procurement on terms, cancellations, and final approvals • Maintain and update media flowcharts, campaign trackers, and billing documentation to ensure accuracy across all active campaigns • Support campaign launches by coordinating with internal teams (media planners, social, search, analytics) and external vendors to ensure all deliverables and assets are received and approved on schedule • Handle media trafficking, vendor communication, and resolution of operational or billing issues • Manage budget tracking, invoice reconciliation, and chargebacks while ensuring proper accounting and audit compliance • Support compliance documentation for pharmaceutical advertising, ensuring adherence to internal regulatory requirements and data protection standards • Assist in cross-functional collaboration with social media and paid search teams, gaining exposure to broader digital campaign operations • Participate in regular meetings with media planners and leadership to review campaign performance, process improvements, and financial updates No deadline to apply.
