Our team partners with surgeons and their practices to dramatically increase profitability, streamline operations, and prepare for successful transitions or sales. Role Overview We are seeking a highly organized, proactive, and discreet Executive Assistant to provide high-level administrative and operational support to our CEO and senior leadership team. This is a fast-paced role that requires exceptional attention to detail, the ability to anticipate needs, and flawless execution in a professional services environment. Key Responsibilities -Manage complex calendars for the CEO and other team members, including scheduling internal/external meetings, travel arrangements, speaking engagements, and continuing education events across multiple time zones. -Coordinate domestic and international travel (private and commercial), including detailed itineraries, hotel accommodations, ground transportation, and expense reconciliation. - Prepare and edit correspondence, presentations, reports, and contracts (often involving sensitive financial and practice valuation data). - Serve as the primary point of contact for high-profile clients (oral surgeons, practice owners, private equity groups) with professionalism and discretion. - Plan and execute on-site and off-site meetings, partner retreats, client dinners, and national conference logistics. - Maintain and organize confidential client files, NDAs, engagement letters, and consulting agreements. - Track project timelines and deliverables for multiple concurrent consulting engagements. - Manage expense reports, invoicing follow-up, and light bookkeeping support in collaboration with the finance team. - Handle ad-hoc personal tasks for the CEO when required (e.g., family travel coordination, personal appointments). - Act as a gatekeeper while maintaining an approachable and positive demeanor. Qualifications & Requirements - 2+ years of experience as an Executive Assistant supporting C-suite executives (experience in healthcare, consulting, private equity, or professional services highly preferred). - Bachelor’s degree strongly preferred. - Exceptional written and verbal communication skills; impeccable grammar and professionalism. - Mastery of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), calendar management tools, and CRM systems (HubSpot). - Proven ability to handle highly confidential information with absolute discretion. - Strong emotional intelligence and the ability to read the room in high-stakes environments. - Proactive problem-solver who anticipates needs before they arise. - Ability to thrive in a fast-paced, ever-changing environment with frequent last-minute schedule changes. - Availability for occasional after-hours or weekend support (compensated). - Professional appearance and demeanor; comfortable interacting with surgeons, attorneys, and private equity partners. - Opportunity for domestic travel to industry conferences as needed.
