As an Administrative Assistant on our team, you will serve as the operational backbone—ensuring our team, leadership, and clients experience absolute clarity from day one. You will act as a primary brand ambassador, directly managing incoming lead inquiries to qualify potential projects and book estimates, while driving seamless office operations behind the scenes. If you thrive on precision, proactive follow-through, and exceptional client rapport, you will directly power our growth. Key Responsibilities Lead Intake & Scheduling - Promptly respond to incoming leads requesting project estimates, delivering an elite customer experience from the first interaction. - Qualify prospective clients according to company criteria to ensure project alignment. - Schedule estimate appointments on team calendars with precision, setting clear expectations with clients and sales representatives. Communication & Office Coordination - Serve as the first line of radical transparency by managing and routing calls, messages, and client inquiries promptly. - Maintain calendars, organize high-level meetings, and document accurate meeting minutes. - Draft, distribute, and archive clear, professional emails, memos, correspondence, and leadership reports. - Maintain an organized filing system and continuously update standard office procedures. Requirements: - High school diploma or GED required; Associate degree or specialized administrative training preferred. - Proven experience as an Administrative Assistant, Lead Intake Specialist, or in a similar high-accountability client service role. - Strong written and verbal communication skills with a friendly, professional demeanor on the phone. - High tech literacy, with proficiency in Microsoft Office Suite (Word, Outlook, PowerPoint) and familiarity with platforms like AccuLynx and QuickBooks. - Exceptional organizational skills, sharp time management, and the ability to prioritize tasks with meticulous attention to detail.
