Role Summary Support the CEO with administrative, operational, and project-related tasks to ensure smooth company operations and enable strategic focus. The ideal candidate has exposure to architecture, civil engineering, or construction and can translate technical information for executive decision-making. Key Responsibilities • Manage CEO calendar, meetings, travel, correspondence, and email triage. • Prepare agendas, briefings, presentations, and executive summaries. • Coordinate with project managers, architects, engineers, contractors, and consultants. • Track project milestones, action items, and follow-ups; maintain status reports. • Draft and review letters, contracts, and procurement communications (with legal/PM review). • Organize site visit schedules, logistics, and safety notifications. • Conduct basic research/analysis (market, regulations, suppliers) and prepare concise reports. • Assist with HR, board materials, investor relations, and confidential tasks as required. Required Qualifications • Bachelor’s degree in Architecture, Civil Engineering, Construction Management, Business, or related field preferred. • 3+ years administrative or EA experience, preferably in real estate, construction, or architecture firms. • Strong organizational, communication, and time-management skills. • Proficient in MS Office and Google Workspace; familiarity with Procore, Asana, Primavera, or similar is a plus. • Ability to read basic architectural/civil drawings and understand construction terminology. • Professional discretion, proactive problem-solving, and ability to prioritize under pressure. Preferred • Experience coordinating technical teams and site operations. • Familiarity with local planning/regulatory processes. • Multilingual skills a plus.
