Job Summary We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! Responsibilities • Greet visitors, clients, and staff warmly, providing professional and friendly front desk support • Manage multi-line phone systems efficiently, directing calls accurately and courteously • Handle incoming emails, messages, and correspondence with promptness and clarity • Maintain organized filing systems, including digital records using Google Workspace and Microsoft Office tools • Perform data entry tasks with precision, including updating databases and maintaining client records • Assist with appointment scheduling, calendar management, and reminders for team members or clients • Support office management duties such as ordering supplies, managing inventory, and coordinating mail services • Provide customer support by addressing inquiries promptly and professionally, ensuring positive interactions • Proofread documents for accuracy and clarity before distribution or submission • Conduct basic bookkeeping tasks using QuickBooks or similar accounting software when needed Qualifications • Proven office experience with strong clerical skills and familiarity with office management procedures • Excellent computer literacy across Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications • Strong organizational skills with the ability to prioritize tasks effectively in a busy environment • Exceptional phone etiquette skills; experience managing multi-line phone systems is preferred • Bilingual abilities are highly desirable to serve diverse client needs effectively • Experience in customer service roles demonstrating professionalism and patience • Knowledge of medical or dental receptionist duties is a plus but not required • Ability to type quickly and accurately while maintaining attention to detail • Personal assistant or administrative experience that includes calendar management and data entry is advantageous • Assist in management of out-going (and incoming) deliveries • Ability to handle phone calls for all departments and staff, taking messages, and ensuring messages are given to the correct staff member • Scheduling appointments • Ensure office is tidy and presentable throughout the day • Daily cleaning and disinfecting of all office spaces • Stocking supplies • Operate photocopier/fax/scanner • Filing invoices, lab slips, etc. • Email communications • Any other duties assigned by manager/owner Join us in creating a welcoming environment where professionalism meets efficiency!
