Job Description Job Description We are seeking a highly organized and proactive Associate Project Manager to support Research Intelligence Navigation. This role will be responsible for assisting stakeholders through complex processes, coordinating multiple schedules, providing high levels of customer service, and ensuring smooth communication across all levels of the organization. The ideal candidate will be a skilled multitasker with strong communication, organizational, customer service, and project management abilities Partners, supports and facilitates projects and ensures project initiatives and timelines are met. Assists with management of project plans, research and analysis. Coordinates implementation of project plans and evaluates outcomes. Job Responsibility • Assists the project initiation process by creating project timetables and tracking execution and workflow. • Aids the preparation of project status reports. • Assists internal and external groups to optimize success of project deployment. • Participates in communication with user departments and project teams on project activities. • Assists the management to develop tools and metrics to evaluate performance of target initiatives. • Helps in driving risk management process improvements, efficiencies and workflow enhancements. • Assists in the development and maintains department policies and procedures. • Operates with direct guidance and work assignments are generally straightforward and of moderate complexity. • Performs related duties as required. Preferred Skills: Communication Management: • Liaison with internal staff to ensure alignment with stated goals and priorities. • Manage department shared inbox. • Provide step-by-step assistance with navigating standard operating procedures, templates, and guides. • Escalate unresolved problems, frequently asked questions, and identified barriers to leadership. • Maintain and update internal communication materials, including SharePoint content. Meeting Preparation and Follow-up: • Coordinate internal meetings on behalf of research stakeholders, ensuring appropriate timing and preparation. • Take meeting minutes and ensure follow-up actions are tracked and completed in a timely manner. • Ensure stakeholders are well-prepared for all meetings, conferences, and events. Project Execution Management: • Maintain standard operating procedures. • Maintain detailed templates, guides, and resources aimed to assist research stakeholders, ensuring documentation is up to date and accessible. • Gather feedback from stakeholders to identify areas for improvement. • Identify issues that arise within work processes and escalate to team leadership. Customer Service: • Deliver high-quality service that prioritizes stakeholder satisfaction, ensuring interactions are positive and solution oriented. • Build and maintain positive relationships with stakeholders by demonstrating reliability, professionalism, and empathy. Other Administrative Support: • Perform general administrative duties as needed. • Assist in organizing company events and conferences. Other preferred skills: • Exceptional organizational skills and attention to detail. • Excellent communication skills, both written and verbal. • Ability to maintain a high level of professionalism and confidentiality. • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management software (e.g., Monday.com, Asana, or similar). • Ability to adapt to a fast-paced environment and manage changing priorities. • A proactive problem-solver with strong critical thinking skills. • Research experience preferred Job Qualification • Bachelor's Degree required, or equivalent combination of education and related experience. • 0-1 years of relevant experience, required. • Additional Salary Detail The salary range and/or hourly rate listed is a good faith determination of potential base compensation that may be offered to a successful applicant for this position at the time of this job advertisement and may be modified in the future.When determining a team member's base salary and/or rate, several factors may be considered as applicable (e.g., location, specialty, service line, years of relevant experience, education, credentials, negotiated contracts, budget and internal equity).
