PRIMARY PURPOSE SUMMARY : Provide computer support and administrative skills for departments under Management Information Services (MIS). Oversees and keeps all aspects of the department's budget and finances moving smoothly and accurately. ESSENTIAL REQUIREMENTS AND RESPONSIBILITIES: 1. Responsible for answering up to seven phone lines and screens calls for Executive Director for Management Information Services and Senior Director for Data Processing. 2. Assists with troubleshooting computer problems at schools and Central Office. 3. Prepares budget spreadsheets and campus plans for departments under the Executive Director for Management Information Services. 4. Inputs purchase orders for departments under MIS, which includes tracking and interacting with vendors and accounting personnel. 5. Prepares slide presentations for meetings. 6. Performs administrative functions for MIS and Data Processing. 7. Oversees billings for departments under MIS. 8. Orders and keeps an inventory of all MIS Department supplies. 9. Responsible for updating the MIS Department Web Page on the Internet/Intranet (Web Page Coordinator). 10. Assists in the preparation of budgets of campuses and administrative departments that are under the Executive Director's supervision and performs electronic budget transfers to balance campus and administrative accounts. 11. Creates and maintains project spreadsheets and works closely with project manager in tracking use of funds. 12. Assists in preparation and submission of E-Rate reimbursements for the District and maintains hard copy files. 13. Monitors paraprofessional KRONOS time sheets and edits punches as needed and also monitors administrative leave requests and enters administrative absences into SEMS computer system. 14. Responsible for District/department software and hardware maintenance contracts (dealing with vendors, tracking, renewing). 15. Maintains Central Office telephone directory and posts on Intranet. 16. Schedules meetings for Executive Director for Management Information Services and Senior Director for Data Processing. 17. Processes mainframe security requests for District personnel. 18. Prepares Workers' Compensation forms for department staff and submits to Risk Management according to state guidelines and deadlines (Workers' Compensation Coordinator). 19. Maintains office machines (copiers, printers, fax machines, etc.) to ensure the work of the MIS Department runs smoothly. 20. Submits invoices to various outside organizations for payment/reimbursement to MIS departments - Monitors and tracks these invoices, receivables and payments. 21. Maintains confidentiality of information. 22. Occasionally required to drive personal vehicle in the performance of assigned tasks. 23. Reports to work on time every day. 24. Performs additional duties and responsibilities as may be assigned. QUALIFICATION REQUIREMENTS:• Knowledge of basic accounting principles • Proficient in the use of various computer software systems, including Microsoft products such as Word, Excel, Power Point and Publisher • Excellent organizational and file maintenance skills • Excellent telephone, interpersonal, and communication skills • Ability to communicate clearly and effectively, both verbally and in writing • Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community • Ability to effectively present information to top management, public groups, and/or boards of directors • Valid Texas Driver's License with driving record that meets the requirements of the District PHYSICAL DEMANDS:The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job: While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; and talk or hear. WORK ENVIRONMENT:The employee is occasionally exposed to risk of electrical shock. The noise level in the work environment is usually moderate.
