About the Role We’re looking for a highly organized, professional, and proactive Executive Office Coordinator to manage HQ operations and support our C-suite. Reporting to the Chief of Staff, this role combines executive support, reception management, and office coordination in a fast-paced, high-impact environment. You’ll be the central point that keeps the corporate office running smoothly — ensuring the leadership team and guests experience NJB’s standards of professionalism every day. What You’ll Do • Welcome and support C-suite executives daily; anticipate needs and keep priorities running on schedule. • Manage executive hospitality — including coffee, refreshments, and meeting setups. • Coordinate travel bookings (flights, hotels, cars) and distribute itineraries. • Maintain awareness of executive calendars to prepare meeting spaces and materials. • Greet guests, clients, and partners with professionalism; manage check-ins and calls. • Keep the office and kitchen stocked, organized, and presentation-ready. • Order supplies, coordinate vendors, and schedule maintenance. • Handle mail, deliveries, and courier logistics. • Support company events, meetings, and internal communications alongside the Chief of Staff. Who You Are • 2+ years of experience in an administrative, executive assistant, or office coordinator role. • Exceptionally organized, reliable, and proactive. • Strong written and verbal communication skills. • Proficient in Google Workspace (Gmail, Calendar, Docs, Sheets). • Professional in appearance and demeanor, with excellent judgment and confidentiality. • Experience in a corporate or service-driven environment is a plus.
