Job Summary: As a valued member of the NFP Rx Team, The Executive Assistant is responsible for enhancing the Executive Team’s effectiveness by performing a wide variety of complex, diverse, sensitive, and confidential administrative functions while providing overall gatekeeping and information management support. Principal Duties and Responsibilities / Essential Functions: • Function as a facilitator to the Senior Leadership Team, understanding priorities in the organization. • Project Oversight. Oversee and coordinate cross-functional initiatives to ensure alignment with organizational goals on behalf of the executive. Follow-up on major company projects to ensure timely execution functioning as the executive’s proxy. • Facilitate high-level meetings, set agendas, track action items, and manage executive priorities. • Maintain heavy, complex, and frequently changing calendars. Oversee scheduling and email management for the executive, including drafting and sending responses as directed. Serve as the primary point of contact for calendar coordination. • Arrange corporate travel and meetings by developing itineraries and agendas, booking transportation, and arranging lodging and meeting accommodations. • Coordinate with the corporate marketing team to ensure alignment and successful execution of marketing initiatives. Execute occasional marketing campaigns, companywide communications and updates as directed by Senior Leadership Team in conjunction with Marking Department. • Deliver a daily status report summarizing the completion and progress of key outstanding items, including any new actions identified through email. Address additional tasks identified and organize and maintain a key action log. • Provide high level administrative support to the Senior Leadership Team. • Prepare and review materials and correspondence for meetings. • Compile and modify presentations, spreadsheets, and other various documents. • Manage all confidential business matters and work independently on special assignments. • Answer and screen incoming phone calls and places calls as directed. • Oversee personal matters, as necessary. • Participate in regular departmental meetings and training and development sessions as directed. • Commitment to culture requires a demonstration of professionalism, accountability, customer/client focus, and teamwork. • Facilitate all aspects of the meeting prep process, coordinating with all necessary departments to gather and compile appropriate materials that will lead to a successful meeting. • Provide a bridge for smooth, accurate communication between the Senior Leadership Team and internal departments; demonstrating leadership to maintain credibility, trust, and support. • Be onsite in the office Mon – Thursday. Minimum Requirements for Education, Experience, and Certifications/Licenses: • 5 – 7 years’ experience as an Executive Assistant • Project Coordinator Experience as an Executive Assistant or at any other time preferred Abilities & Skills: To perform this job successfully, must be able to perform each essential duty satisfactorily. Must also have expert level communication skills and strong decision-making ability is essential. Must have the ability to interact diplomatically and professionally, while maintaining the highest level of confidentiality. The ability to work independently and multi-task is crucial. Exceedingly well organized, flexible, and able to prioritize in a fast-paced environment is key. The ability to manage multiple priorities: several calendar requests to ensure each meeting is given the proper prioritization. Must be a power user in Microsoft Outlook, Word, Team, Excel, and PowerPoint. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. The base salary range for this position is $74,000.00 – $108,000.00. The base salary offered will be determined by factors including, but not limited to, experience, credentials, education, certifications, skill level required for the position, the scope of the position, and geographic location. Actual base salary offered will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives. NFP and You... Better Together!
