APPLICANTS MUST BE PERMANENT IN THE CLERICAL ASSOCIATE CIVIL SERVICE TITLE The Department of Social Services (DSS) is comprised of the administrative units of the New York City Human Resources Administration (HRA) and the Department of Homeless Services (DHS). HRA is dedicated to fighting poverty and income inequality by providing New Yorkers in need with essential benefits such as Food Assistance and Emergency Rental Assistance. DHS is committed to preventing and addressing homelessness in New York City by employing a variety of innovative strategies to help families and individuals successfully exit shelter and return to self- sufficiency as quickly as possible. The Office of Fiscal Operations (OFO) serves as the primary payments and accounting office for DSS/HRA/DHS. OFO is seeking a highly responsible individual to serve as an Executive Assistant/Technical Business Analyst to the Deputy Commissioner for OFO. The Assistant will work closely with the Deputy Commissioner to perform work functions in the division, which may include researching Vendor inquiries, personnel queries, auditing, and Program area related request. The Office of Fiscal Operations (OFO) is recruiting for one (1) Clerical Associate 4, to function as an Executive Assistant/Technical Business Analyst, who will: • Performs various administrative and executive support task. • Project manage tasks as assigned, i.e., DSS/HRA Fiscal Manual • Act as project coordinator for team meetings, including all staff meetings, coordinating recurring check-ins. • Produce and edit internal and external correspondence and materials as needed. • Handle office tasks as assigned by the Deputy Commissioner. • Work with Vendor Payments to monitor and respond to inquiries from vendors, contractors, Program staff and others. • Work with the Payments unit to identify deficiencies and assist in developing enhancements. • Assist with responding to Audit, OTDA and other requests for information. • Assist in scheduling and preparing materials for internal and external meetings. • Take minutes and provide transcript of meetings as necessary. • Develop and create analyses as directed by Deputy Commissioner. • Maintain active communications with the various units within the Office of Fiscal Operations. • Assist in other areas as needed. Work Location: 4 World Trade Center, New York, NY Hours/Schedule: 9 to 5 CLERICAL ASSOCIATE - 10251 Minimum Qualifications Qualification Requirements A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and one year of satisfactory clerical experience. Skills Requirement Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute. Preferred Skills • Excellent written and oral communications skills. • Familiarity with New York City financial and procurement systems. • Must be able to operate in a fast-paced environment under short deadlines • Ability to positively interact with multidisciplinary staff. • Able to work independently as directed by senior staff. • Proficiency in Microsoft Office Suite including Windows, Word, Excel, PowerPoint • Ability to learn other applications and/or systems. 55a Program This position is also open to qualified persons with a disability who are eligible for the 55-a Program.
