Description This is an opportunity to lead a team of certified project managers who orchestrate the movement of 5,000+ immigration cases through complex lifecycles, ensuring nothing falls through the cracks and every client receives timely, excellent service. The Project Manager Supervisor leads a team of certified Project Managers who collectively manage approximately 5,000 active immigration cases. This role ensures every case moves systematically through its lifecycle, deadlines are met, quality standards are maintained, and our 24-hour operations model functions seamlessly across time zones. You will not personally manage cases or produce legal work. Instead, you will develop, coach, and supervise Project Managers who orchestrate workflows between attorneys, paralegals, legal assistants, and clients. You'll ensure your team follows systematic processes, maintains accountability, identifies bottlenecks proactively, and continuously improves operational efficiency. This role reports to the Director of Operations to align case management strategy with firm growth objectives. You'll build the infrastructure that enables our mission: helping 1 million immigrants live free through flawless execution. You must hold a professional project management certification (PMP, Six Sigma, Agile/Scrum, or equivalent) and have proven experience managing teams of project managers in high-volume, deadline-intensive environments. Responsibilities Team Leadership & Development Supervise, coach, and develop a team of 6-10 certified Project Managers (US-based and international) Conduct weekly 1-on-1 meetings to provide coaching, remove blockers, and support professional growth Set clear performance expectations and KPIs for each Project Manager (on-time case completion, error rates, client satisfaction) Conduct performance reviews, compensation recommendations, and promotion decisions Recruit, interview, and onboard new Project Managers as firm scales Create career development pathways and succession planning for PM team Handle performance management issues and terminations when necessary Foster a culture of accountability, continuous improvement, and mission alignment Operational Strategy & Process Excellence Design and refine case management workflows to optimize efficiency and quality Ensure all Project Managers follow standardized checklists, SOPs, and systematic processes Monitor team-wide metrics: case progression rates, bottleneck identification, on-time completion rates, error rates Identify process gaps and inefficiencies; implement solutions collaboratively with leadership Partner with Head of Legal Operations to align PM strategy with legal team needs Oversee 24-hour operations model—ensure seamless handoffs between US-based and international PM shifts Conduct root cause analysis when cases stall or errors occur; implement corrective actions Build and maintain PM team playbooks, training materials, and best practices documentation Cross-Functional Collaboration & Stakeholder Management Partner with attorneys, Paralegal Supervisors, and Legal Assistant Supervisors to resolve workflow issues Serve as escalation point when Project Managers encounter blockers with legal teams Attend leadership meetings to provide case progression updates and operational insights Collaborate with Director of Operations on capacity planning and resource allocation Work with Head of Legal Operations to ensure PM workflows support attorney productivity Communicate proactively with stakeholders about risks, delays, and process improvements Systems & Tools Management Oversee Project Manager use of Filevine (case management system) and project management tools Ensure data accuracy and completeness in case tracking systems Identify technology needs to improve PM efficiency (dashboards, automation, integrations) Partner with IT/Operations on tool implementation and training Generate executive-level reports on case pipeline health, team performance, and operational metrics Requirements Project Management Certification (REQUIRED): Must hold active certification: PMP (Project Management Professional), Six Sigma (Green Belt or higher), CSM (Certified Scrum Master), PMI-ACP (Agile Certified Practitioner), PRINCE2, or equivalent Certification must be current and in good standing Continuing education in project management methodologies strongly preferred Leadership Experience: 5-7 years of project management experience with at least 3 years managing teams of Project Managers Proven track record leading teams of 5-10+ project managers or program managers Experience in high-volume, deadline-intensive industries (legal, healthcare, financial services, logistics, technology) Demonstrated ability to develop underperforming PMs into high performers Comfortable managing geographically distributed teams across time zones Operational Excellence: Deep expertise in project management methodologies (Agile, Waterfall, Lean, Six Sigma, Kanban) Strong understanding of workflow optimization, process improvement, and bottleneck elimination Experience building and scaling operational processes during organizational growth Data-driven decision maker who uses metrics to drive team performance Proven ability to manage complex, multi-stakeholder projects with competing priorities Core Competencies: Exceptional leadership and coaching skills Strong analytical and problem-solving abilities Excellent written and verbal communication skills High emotional intelligence and conflict resolution capability Ability to balance empathy for team members with accountability for results Strategic thinker who can see the big picture while managing tactical execution Comfortable with ambiguity and building systems in fast-growth environments Work Requirements: Must work Arizona business hours (8 AM - 5 PM Arizona time, Monday-Friday) Available for real-time collaboration with US-based leadership and legal teams Can be located anywhere in the United States (fully remote) Occasional overlap with international PM shifts for handoff coordination (early morning or evening) Reliable high-speed internet connection and professional home office setup Willingness to travel to Phoenix 1-2 times per year for team meetings (optional but preferred) Preferred Qualifications Legal industry experience (law firm operations, legal process outsourcing, legal tech) Immigration law familiarity (case types, timelines, compliance requirements) Experience managing 24-hour or follow-the-sun operational models Background in legal project management or case management systems (Filevine, Clio, MyCase) Advanced certifications (PMP + Six Sigma Black Belt, or PMP + Agile/Scrum) Experience scaling operations from 50-200+ person organizations Bilingual (Spanish/English) for collaboration with international PM team MBA or Master's degree in Operations, Business Administration, or related field If you're a strategic operational leader who loves developing talent, optimizing complex workflows, and using data to drive results and you want to apply those skills to a mission that changes lives—we can't wait to meet you.
