A gynecologist noticed many of her friends were suffering from neglected health issues: they were trapped in cycles by a medical system (doctors, drug companies, etc) that didn’t care about or listen to them. She realized she could create natural remedies for them, with real scientific knowledge. As we help women, our capacity to help even more women increases. However, as we help more women, our level of chaos and disorder increases too. That’s where you come in as our next Personal and Executive Assistant. Role Overview: As Kevin Tao’s Personal and Executive Assistant, your role will be crucial in managing his daily activities, prioritizing tasks, ensuring he maintains his physical and mental health, and helping him stay organized amidst the chaos of leading a rapidly growing company. Key Responsibilities: 1. Time Management & Task Prioritization (Big Rocks): • Track Kevin’s time in 30-minute intervals weekly. • Ensure Kevin’s to-do list is maintained and prioritized daily, based on his preferences, strengths, and weaknesses. • Meet with Kevin twice a day to review meetings and important emails. 2. Health & Well-Being Support: • Schedule and ensure Kevin adheres to physical health activities (3 workouts per week) and good sleep hygiene. • Schedule mental health activities, such as social events and walks. • Keep Kevin away from news overload and excessive screen time. 3. Daily Operations: • Maintain a clean and organized workspace for Kevin. • Review Kevin’s email inbox daily and provide concise summaries. • Read Kevin’s journal entries to stay informed of his mental state. 4. Proactive Personal Support: • If Kevin’s personal or professional life starts to become overwhelming, step in with proactive measures such as organizing social events or encouraging time with friends, family, or nature. 5. Regular Check-ins & Meetings: • Conduct daily morning and evening check-ins with Kevin to review progress, challenges, and upcoming tasks. • Ensure meeting minutes are taken and shared as needed. What Success Looks Like: You will help Kevin build a stable foundation for success (both in his personal well-being and leadership) so he can focus on driving the company forward. Success in this role means you can understand his needs, prioritize tasks effectively, and communicate proactively. You’ll be a key player in keeping Kevin balanced and the company organized as we make a positive impact on thousands (or millions) of lives. Qualifications: • Experience: Prior experience is not required, but helpful backgrounds include: • Executive Assistant or Chief of Staff to a founder/CEO or physician. • Teacher, coach, therapist, social worker, or case manager. • Operations or program coordinator in a small business, clinic, or nonprofit. • Long-term nanny or caregiver with experience in building routines and systems. • Anyone with a passion for systems, organizing, and long-term projects.
