Position Overview We are seeking an Event Coordinator / Conference Planner/ Administrative Assitant to support one of our federal government programs and other administrative items as needed. The ideal candidate is highly organized, detail-oriented, self starter and thrives in a fast-paced, client-focused environment. This is a fully remote position that may rarely require travel for onsite events but should be located in the DMV area. Key Responsibilities Event Planning & Coordination • Register and process payments for attendees at onsite and virtual events. • Track registration data and ensure completeness and accuracy. • Research, coordinate, and book meeting and conference venues. • Serve as the liaison between the client, event organizers, and venues. • Negotiate and review venue and hotel contracts for accuracy and cost-effectiveness. • Coordinate and purchase hotel room blocks and event spaces. • Communicate updates clearly, promptly, and professionally. • Track all logistics, timelines, and deliverables in Google Sheets and internal PM tools. • Manage event budgets, expenses, receipts, and post-event reporting. • Suggest and implement process improvements. • Provide exceptional customer service and administrative support. • Order signage and other necessary items for meetings and events. • Strong project managing skills Administrative & Communication Support • Manage emails, calendars, and schedules for project and client activities. • Handle client communication and follow-ups with professionalism and attention to detail. • Keep data and CRM systems up to date with accurate event and client information. • Conduct research, compile information, and prepare summary reports. • Take care of routine administrative tasks that support project efficiency. Marketing & Social Media Support • Support social media and marketing activities for multiple clients and NCN. • Assist with social media post creation and marketing content development. • Coordinate promotional efforts to boost event visibility and engagement.
