Full Description

We are seeking an experienced, dynamic Executive Assistant to provide high-level administrative and operational support to the Chief Executive Officer. The ideal candidate is a seasoned professional who operates with discretion, sound judgment, and exceptional attention to detail, and who thrives in a fast-paced, executive environment. This role requires a trusted partner to the CEO - someone capable of managing complex scheduling, overseeing executive communications, actively participating in meetings, developing executive-level presentations, and planning and executing company events on-site. The Executive Assistant will serve as a key liaison across the organization and with external stakeholders. Key Responsibilities: • Serve as a primary point of contact between the CEO, internal teams, and external partners • Manage and optimize the CEO’s complex calendar, including scheduling internal and external meetings and coordinating with multiple stakeholders across time zones • Arrange and manage travel logistics, itineraries, and expense reporting ensuring all logistical details are meticulously planned and documented for seamless travel experiences • Oversee and prioritize the CEO’s email inbox, drafting and communicating responses on behalf of the CEO as an authorized delegate, while ensuring timely and professional engagement with clients, partners, and internal teams • Manage and oversee Real Estate Transactions of commercial and residential properties. Support end-to-end real estate transactions from contract to closing through coordinating documentation, timelines, and stakeholder communication • Prepare meeting agendas, attend meetings as required - alongside or on behalf of the CEO, capture key discussion points, and track follow-up actions to ensure timely execution • Develop, edit, and format executive-level presentations, and reports synthesizing complex information into clear, concise, and visually compelling content for leadership, and other audiences • Plan, organize, and execute company-wide events and on-site functions, including leadership meetings, client visits, and internal events; manage end-to-end logistics such as scheduling, venue setup, vendor coordination, catering, materials preparation, and on-site day-of support • Handle sensitive and confidential information with the highest level of discretion and professionalism • Anticipate executive needs and proactively identify solutions to ensure smooth and efficient day-to-day operations • And any other task or responsibility that the company may need at any time Preferred Skills & Experience: • Minimum of 5 years of experience providing direct support to a CEO or senior executive • Strong communication skills, both verbally and in writing, to effectively convey information and interact with diverse stakeholders • Exceptional time management abilities, with a proven track record of prioritizing multiple tasks and maintaining organization under tight deadlines • Ability to collaborate effectively with team members and other departments to facilitate smooth operations and achieve common goals • Demonstrated personal effectiveness, consistently delivering high-quality work and upholding company values • Proficiency in utilizing tools like Microsoft Suite, and Google Suite; Salesforce strongly preferred • Professional presence with strong judgment and decision-making abilities About MyOutDesk: MyOutDesk is a global staffing and talent solutions company with nearly 20 years of experience helping businesses scale through high-performing remote teams.
