Operations Associate Department: Multiplier CORE Team Employment Type: Permanent - Full Time Location: Remote Reporting To: Head of Operations & Project Experience Compensation: $81,000 / year Description About the Organization: Multiplier’s mission is to accelerate impact for initiatives focused on protecting and fostering a healthy, sustainable, resilient, and equitable world. Growing threats to our planet and its people require holistic solutions, both locally and globally. The projects in our portfolio span a broad array of cross-sector strategies in land and ocean conservation, public health, education and leadership, economic development, clean energy, climate resilience, sustainable food systems, energy efficiency, social and environmental equity, and more. We partner with our portfolio of nearly 50 project teams to provide strategic, operational, and advisory support, helping our projects build capacity, remove barriers, and accelerate their progress towards meaningful environmental and social impact. Position Summary: The Operations Associate at Multiplier provides essential administrative and logistical support that keeps our Core team running smoothly and helps deliver excellent customer service to our project teams through our IT helpdesk functionality. This role touches many parts of our organization—supporting technology administration, internal special projects coordination, policy and knowledge management, and logistics for in-person team and board gatherings. Working closely with the Director of IT and members of the CORE team, the Operations Associate helps maintain organized, reliable systems and processes that promote consistency and efficiency across the organization. This position plays a hands-on, detail-oriented role in ensuring operations are well-coordinated, responsive, and aligned with Multiplier’s mission of supporting people and the planet. Primary Responsibilities Organizational Operations Administration - 40% Provide operational support across teams for special projects and initiatives. Collaborate across teams to manage the annual review process for organizational policies, ensuring they remain current, clear, and aligned with our evolving needs. Maintain our internal knowledge base (Document360) by adding users, identifying content needs, and working with team members to ensure resources are accurate, well-organized, and accessible. Support the implementation of our document retention policy, including helping teams with document destruction and developing systems to flag content that doesn’t align with policy. Coordinate the annual insurance renewal process to ensure timely coverage to help mitigate risk across our operations. Create and maintain standard operating procedures (SOPs) and other operational documents to promote consistency, efficiency, and clarity. Manage and improve the organization of Multiplier’s digital file systems to support team access, reduce duplication, and increase operational efficiency. Proactively identify opportunities to strengthen internal systems and processes and lead the implementation of operational improvements that enhance efficiency, clarity, and ease of use across the organization. Technology Operations - 40% Manage day-to-day IT help desk requests with a focus on timely, customer-centered support, including user setup, software subscriptions, and basic troubleshooting. Escalate complex or technical issues to the Director of IT. Identify patterns in support requests and develop proactive resources, tools, or processes to address common needs. Identify ways to streamline technology administrative operations. Manage the purchase and tracking of computers, software, and other tech equipment for our Core and project teams. Manage nonprofit technology discount programs (such as TechSoup), helping project teams identify available discounts, navigate purchasing processes and basic support. Proactively research and recommend new discount opportunities for project teams. Support project teams in ensuring their websites meet compliance standards by confirming that cookie banners, privacy policies, and disclaimers are current and functioning properly. Set up new Core and project team members with their digital accounts and tools, and make sure they feel comfortable using their operational systems from day one. Oversee monthly technology expense reporting. Provide administrative technology support for Core team tools—like surveys, assessments, and the learning management system—including setting up users, offering light troubleshooting, and ensuring team members can navigate systems with ease. Keep our Multiplier.org website updated with simple edits in WordPress. Event Logistics - 20% In collaboration with the Core team, plan and coordinate the annual Board of Directors in-person meeting and Core team gathering, overseeing all logistics including strategic location selection, seamless itinerary planning, efficient vendor management, and effective coordination. Continuously identify and implement ways to promote inclusion and accessibility in event planning, ensuring all participants feel welcome and supported. Identify and implement practices that make gatherings more sustainable, such as evaluating emissions impact, selecting environmentally responsible vendors, and reducing waste, in alignment with the organization’s values. Maintain clear and timely communication with Core team and board members about event details to support coordination and ensure everyone feels informed and prepared. Create and manage event budgets, track expenses, and support the team with post-event expense coding and related communication. Oversee the creation and distribution of event materials and agendas. Design feedback tools to regularly learn from events and support ongoing improvements to how we plan and host them. Ensure the completion of post-event takeaways and tasks to advance the strategic initiatives and organizational goals identified during events. Experience supporting digital tools and systems such as Microsoft 365, Google Workspace, learning management platforms, knowledge bases, or WordPress. Experience maintaining or developing internal documents, such as policies, SOPs, or knowledge base content. Ability to coordinate and support events, with experience managing logistics, tracking budgets, and promoting inclusion, accessibility, and sustainability. Excellent organization, time management, and communication skills with a focus on clarity, collaboration, and follow-through. Ability to see patterns, identify areas for process improvement, and implement thoughtful, people-centered solutions. Comfortable working independently and collaboratively in a fast-paced, evolving environment.
