Your Purpose MSC Cruises, the world’s third largest cruise line brand is expanding its Facilities team in the USA. Reporting to the Facilities Manager, the Administration Specialist will take full ownership of the office environment. Acting as the face of the 7th floor workspace, this role is responsible for reception coverage, facilities coordination, and daily operations — ensuring that everything from vendor performance to conference room setup is seamless and professional. The Office Specialist will manage the day-to-day operations independently and proactively. This is position requiring 5 days per week in the office, in Miami. Your Impact Office and Facility Operations: • Take full ownership of day-to-day operations for the 7th-floor headquarters space, reporting any facility or office-related issues to the Facilities Manager • Act as the liaison between staff, vendors, and Facilities Manager to resolve maintenance, repair, or service issues • Manage vendor relationships, including but not limited to janitorial, HVAC, coffee vendor, office supplies, and delivery services • Coordinate workspace changes, minor office build-outs, and space planning projects, including managing and maintaining accurate seating charts for each office suite • Monitor and maintain the cleanliness, safety, and professional presentation of shared office areas • Perform other administrative, office coordination, or facilities duties as needed Reception & Guest Experience: • Oversee the 7th-floor reception area, greeting visitors and ensuring a polished and welcoming front-desk experience • Manage conference room scheduling, setup, and AV/catering coordination for meetings and events • Handle visitor registration, guest badges, and security protocols in collaboration with first-floor Office Coordinator Administrative & Executive Support: • Provide administrative support to leadership as needed • Prepare reports, summaries, and documentation related to office and facilities functions • Track and replenish office and pantry supplies; anticipate needs and maintain inventory • Help coordinate on-site events, team meetings, and employee engagement initiatives Facilities Requests & Reporting: • Submit and track facilities-related service requests and vendor requests, ensuring prompt resolution • Keep records of office assets, supplies, vendor services, and maintenance logs • Escalate issues to the Facilities Manager Your Journey so far • High school diploma required; Associate’s or Bachelor’s degree preferred • 2–3 years of experience in office management, facilities coordination, or executive administration • Strong communication skills and ability to manage vendor relationships • Proficient in Microsoft Office Suite (Outlook, Word, Excel, Teams); experience with ticketing or office management tools a plus • Able to lift up to 30 lbs and assist with light physical tasks as needed • Familiarity with building security systems, visitor management platforms, or emergency protocols • Experience supporting C-level executives or working in corporate headquarters • Bilingual skills (Spanish/English) preferred Your Essentials • US Passport or US Permanent Resident • MSC Cruises is an E-Verify employer MSC Cruises USA is an equal opportunity employer that complies with all applicable federal, state, and local laws, rules and regulations.
