Full Description

Position Qualifications: Minimum One year or more of college or vocational school training with at least one year of prior work experience in a business, social service, or related setting. Demonstrates proficiency with MS Office suite and database software. Ability to work under pressure to meet deadlines. Positive attitude, ability to work independently and as part of a team. Excellent written and oral communication skills. Must maintain punctual and regular work attendance. Preferred Some college, an Associate’s Degree or higher, or one year of experience in a non-profit or similar setting. Bilingual in Spanish and English. Primary Functions: · Assess, input, and monitor data for victims of sexual and family violence. · Audits Agency-wide and program-specific data, shares results with appropriate staff, and addresses applicable compliance issues. · Assist with the training and the development of materials used to train staff and help coordinates staff trainings, data tracking, and compliance. · Assists with the development and maintenance of tracking systems to ensure all grant data is tracked and accurate. · Assists with overseeing the Osnium (WS) Program and the entry of data into the Program to ensure the information is input accurately and timely. · Maintains and monitors client files weekly to ensure the accuracy of documentation and confidentiality. · Create new files as required. · Provide training to staff regarding the agency database, information gathering, and agency paperwork. · Serve as a point of access to closed residential and non-residential files. · Assist with compiling and completing reports for all grants as assigned. · Assist with the development, maintenance, and auditing of monthly program reports. · Keeps track of service definitions and data compliance changes related to funding requirements · Maintain appropriate spreadsheets as backup to Osnium reporting. · Assist with routine evaluations of the Osnium (WS) Program data to address any issues with data input or with the program. · Assist the Grants Department to ensure that the Agency's statistical policy and procedures are current and reflect funding reporting requirements. · Maintains and monitors confidential client files and ensures that all files comply with funding requirements. · Monitors grant requirements and, when possible, mainstream reporting requirements to alleviate the need for staff members to generate statistical reports manually. · Assist with compiling and analyzing all data required on a monthly, quarterly, bi-annual, and annual basis as required. · Updates client forms as needed. · Monitors and maintains an appropriate inventory of forms for all programs. · Communicates needs to the appropriate staff in a timely manner. · Maintains all pertinent applicant documentation for record-keeping purposes. · Participate in and oversee the continuous evaluation of the intake process and data gathering methods · Maintain and communicate grant due dates to programs · Assist with maintaining and auditing grant files on a quarterly basis · Assist with special projects or tasks if requested. · All other duties as assigned.
