Full Description

Responsibilities: General Office Duties • Greeting clients and vendors as they enter the office • Answering phones and directing calls to appropriate staff • Scanning, filing and saving of client documents to secure filing system • Providing prompt and courteous response to client inquiries • Ordering office supplies, as needed • Developing systems within the office to improve efficiency and accuracy Accounts Receivable • Following up with past due clients and collecting outstanding invoices • Processing monthly auto-pay invoices and sending receipts to clients • Updating auto invoices as changes are needed Communications • Preparing and sending email blasts, as needed • Preparing and sending Constant Contact emails, weekly and on-demand • Updating company blog page, weekly and on-demand • Updating Login Sheets, as needed, saving to Smartvault, and ensuring all staff members receive copies • Following up timely with clients on current and outstanding issues • Generating letters in response to IRS or state agency notices to clients • Monitoring the INFO mailbox for time-sensitive communications Bookkeeping/ Payroll • Assisting with journal entries and record keeping on behalf of clients • Transaction Classifications • Processing Payroll & Preparing Payroll Tax Forms • Processing 1099s & W-2s Job Skills and Requirements: • 3 years of Experience • Proficient in Microsoft Outlook, Word and Excel in addition to basic computer knowledge. • Experience with QuickBooks Software and ProConnect Tax Software. • Ability to multitask and complete work in a timely manner. • Strong analytical, written, and verbal communication skills. • Highly detail-oriented and organized Work Remotely • No Job Type: Full-time Pay: $20.00 - $25.00 per hour Expected hours: 32 – 40 per week Benefits: • Paid time off Education: • Associate (Required) Experience: • Microsoft Office: 3 years (Required) • Administrative : 3 years (Required) • payroll: 2 years (Required) • Bookkeeping: 2 years (Required) Work Location: In person
