Position Overview We are seeking a full-time, in-person receptionist to join our team. The ideal candidate thrives in a dynamic environment, anticipates needs, and can manage multiple priorities with discretion and professionalism. Key Reception Responsibilities · Open and close the office and staff the reception desk · Manage all incoming phone calls · Greet and welcome guests · Accept and distribute all deliveries · Process all incoming and outgoing mail, including faxes · Manage all weekly firm lunches · Maintain the break room and kitchen, including inventory · Assist with meeting setup in conference rooms · Manage the Firm New Matter Memo Other Admin Responsibilities · Process incoming checks for invoice and trust payments · Assist with document management and file organization for physical and electronic documents · Assist attorneys and staff with office administrative tasks (records requests, scanning and copying, binder preparation, etc.) · Assist attorneys with intake of potential new clients and closing client files · Place and manage courier orders, including orders for service and grand jury transcripts · Serve as back-up support for legal assistants Qualifications · Previous experience at a law firm preferred. · High school diploma or equivalent. · Exceptional organizational skills and attention to detail. · Strong written and verbal communication skills. · Proficiency in legal software (e.g., iManage, LMS, PACER), a plus. · High proficiency in MS Suite, specifically Word, Outlook and Adobe Acrobat. · Ability to manage confidential information with discretion. · Must be a self-starter who is well organized and can handle multiple tasks with the ability to prioritize work. · Ability to work well with others and be a team player. · Professional appearance and demeanor.
