Job Title: Project Coordinator – Installation Services (Pacific Coast) Department: Installation Operations Reports To: Customer Service Manager, Pacific Coast Location: Remote (Pacific Coast Region) Status: Full-Time, Exempt About the Role The Project Coordinator – Installation Services plays a central, customer-facing role in delivering playground, surfacing, shelter, and site amenity installation projects. Once a project is handed off from the Sales Account Manager (SAM), the Coordinator manages the full life cycle of the installation process — including communication, scheduling, freight tracking, installer coordination, issue identification, and documentation through project close-out. While the role does not involve construction oversight or site supervision, the Coordinator ensures that each project progresses smoothly, stays on schedule, and receives timely and professional communication at every step. Core Responsibilities 1. Project Ownership & Communication • Serve as the primary point of contact for assigned customers after sales handoff. • Manage all communication with customers, installers, and internal partners throughout the project. • Provide proactive, timely updates on schedules, deliveries, project changes, and next steps. • Establish clear expectations for timelines, responsibilities, and site readiness. 2. Installation Scheduling & Coordination • Create and manage project timelines from order receipt through installation. • Coordinate with installers to schedule work based on regional capacity and availability. • Adjust schedules as needed due to delays, site conditions, freight timing, or installer needs. • Confirm job readiness, planned manpower, and any special requirements with installers. 3. Freight, Delivery & Logistics Tracking • Track equipment shipments, ETAs, and freight status using internal systems and vendor tools. • Communicate delivery timing and staging arrangements with customers and installers. • Ensure deliveries align with installation schedules; escalate late or incomplete shipments promptly. • Maintain accurate shipment documentation within Salesforce. 4. Issue Identification & Escalation • Identify risks early (freight delays, missing components, site access issues, inspections, weather). • Resolve basic issues directly; escalate complex or sensitive issues appropriately. • Collaborate with Design, Parts, and SAM teams when broader coordination is needed. 5. Project Documentation & Close-Out • Maintain accurate and complete project records in Salesforce and shared systems. • Collect required installation photos, warranties, punch-list confirmations, and as-built documentation. • Provide timely close-out information to Finance for billing. • Complete change-order documentation as required for project adjustments. • Ensure organized documentation for future reference and warranty needs. Required Skills & Experience • 3+ years of experience in project coordination, customer operations, construction administration, or similar roles. • Excellent organization and time-management; able to handle multiple active projects. • Strong written and verbal communication skills with a customer-first mindset. • Ability to read and understand project details, measurements, schedules, and installation requirements. • Experience coordinating vendors, subcontractors, installers, or similar partners. • Proficiency in project management tools or CRMs (Salesforce preferred). • Prepare accurate and timely quotes for projects and parts using Salesforce and internal tools when necessary • Apply mathematical reasoning to quoting, pricing, and proposal development • Strong ownership mindset with consistent follow-through. Preferred Skills • Experience in playgrounds, construction, landscaping, site work, or shelter/steel fabrication. • Familiarity with freight logistics and installation sequencing. • Exposure to project adjustments or change-order processes. • Background working with field crews or subcontractors. What Success Looks Like • Customers feel supported, informed, and confident throughout the project. • Installers trust the clarity, organization, and responsiveness of the Coordinator. • Projects progress according to timeline or delays are communicated quickly and professionally. • Salesforce data is accurate, organized, and complete. • Escalations are raised early and handled collaboratively. • Project close-out is timely and precise. Salary range: $70,000 - $80,000+ DOE & Full Benefits Package
