Millbridge Facility & Amenities Operations Manager Reports To: HOA Board of Directors Position Summary The Facility & Amenities Operations Manager is responsible for the daily physical operations, safety, and resident‑facing experience of MillBridge amenities, community buildings, and shared‑use facilities. This role ensures that amenities are clean, safe, well‑maintained, and ready to support community activities, rentals, and resident use. This position is distinct from the Association’s contracted Managing Agent (Hawthorne Management Company) and will not perform duties assigned to the Agent under the Management Agreement (e.g., financial management, records custody, hiring/contracting authority, or tax filings). The Manager collaborates with the Agent and vendors to ensure operational readiness. Key Responsibilities 1) Facility Operations & Oversight • Conduct routine operational and safety inspections of buildings, amenities, and grounds; document issues and submit work requests through the Managing Agent. • Track completion of approved work orders and verify resolution; escalate deficiencies to the Managing Agent and Board as needed. • Monitor cleanliness, equipment readiness, and vendor performance (janitorial, landscaping, pool, pest control, etc.) and provide quality‑assurance feedback to the Managing Agent. • Ensure facilities meet HOA safety, appearance, and operational standards; recommend improvements and preventative maintenance items. • Assist with onsite staffing coordination (scheduling, tasking, training) for HOA‑engaged personnel only as authorized by the Board; no hiring/firing authority. • Attend Board/committee meetings as requested, in coordination with the Managing Agent. 2) Vendor Coordination & Site Readiness (Advisory/QA role) • Coordinate site access and logistics for vendors; verify that completed work aligns with scope and report deficiencies to the Managing Agent. • Provide observations to inform the Agent’s preventative maintenance planning and capital reserve recommendations. • Maintain a rolling issues log and status tracker for operational items; share regularly with the Managing Agent and Board. 3) Amenity Rentals & Event Support • Manage onsite logistics for private rentals and HOA‑sponsored events (room setup checks, access coordination, signage). • Conduct pre‑and post‑event walkthroughs and document conditions; submit any damage or cleaning claims to the Managing Agent per established procedures. • Maintain amenity usage calendars and provide weekly updates to the Managing Agent and committees; propose process improvements based on usage trends. 4) Community Communications & Committee Support • Draft facility updates (closures, maintenance, reminders) for distribution via official HOA channels; route through the Managing Agent when required by policy. • Support committees with facility‑related information and logistics; assist the Welcome Committee with facility tours and new‑resident orientation. • Ensure all public‑facing communications are consistent with Board and Managing Agent guidance. Qualifications • 2+ years of experience in facility management, community association operations, hospitality, or related fields. • Experience in vendor coordination and resident‑facing customer service. • Strong organizational, communication, and problem‑solving skills. • Ability to manage multiple priorities independently. • Proficiency in Microsoft Office and basic facility management tools. • Valid driver’s license and current vehicle liability insurance. Pay: $50,000.00 - $65,000.00 per year Work Location: In person
