Position Overview: The Executive Assistant (EA) serves as a trusted partner and administrative leader to the senior executives. This role is central to driving organizational efficiency, managing executive priorities, and ensuring flawless execution of high-impact initiatives. The ideal candidate combines exceptional organizational and communication skills with sound business judgment, confidentiality, and a proactive, forward-thinking mindset. Key Responsibilities: Executive Support & Strategic Coordination Provide personal and professional support to the CEO Provide comprehensive support to the COO , anticipating needs and ensuring smooth day-to-day operations. Manage complex calendars, schedule meetings, and coordinate logistics for internal and external engagements. Serve as a gatekeeper and liaison between executives, Board members, investors, and key stakeholders. Prepare executive briefings, reports, and presentation materials to support business decisions. Ensure items like OKRs, MBRs and Board meetings are well organized with thoughtful agendas and executed well. Prioritize and manage multiple projects simultaneously with minimal direction. Corporate Event & Meeting Management Lead planning and execution of corporate events, executive retreats, and industry conferences. Oversee vendor management, contract negotiation, and budget oversight to ensure high-quality outcomes. Manage keynote content, speaker coordination, and on-site event logistics to deliver seamless experiences. Serve as a key liaison for our annual industry conference as our CEO is the President and support of that association is critical Culture Act as a Culture Ambassador, embodying and promoting Medical Guardian’s values across the organization. Partner with HR and Marketing to design and deliver on joint initiatives, such as Founder’s Club, as relevant. Coordinate meeting logistics, visitor preparation, and room setup to ensure all spaces are organized, well-equipped, and aligned with brand expectations for professionalism and hospitality. Ensure office maintenance and meeting coordination reflects the highest level of professionalism and organization associated with a well functioning operation Operational Excellence & Project Management Identify opportunities to streamline administrative and operational processes for improved efficiency. Maintain compliance and ensure accuracy in documentation, reporting, and record-keeping. Qualifications: Required: Bachelor’s degree or equivalent professional experience 5+ years of experience as an Executive Assistant supporting C-suite leaders in a fast-paced corporate environment Demonstrated experience managing large-scale events and high-impact projects Advanced proficiency in Microsoft Office Suite Exceptional written and verbal communication skills Strong organizational and time-management abilities; able to prioritize effectively under pressure Discretion, integrity, and the ability to handle sensitive information with professionalism High emotional intelligence and proactive problem-solving skills Ability to be in office Tuesday, Wednesday and Thursday with an 8:30AM start time to be ahead of employee and partner arrivals Must be legally authorized to work in the United States without the need for employer sponsorship now or in the future.
