Location: On-site Employment Type: Full-Time OR Part-Time (Min. 25 Hours per week) About The Role We are seeking an organized and welcoming Office Manager & Marketing Coordinator to serve as the first point of contact in our office and support daily operations, team culture, and brand presence. This role is ideal for someone who enjoys creating a positive workplace experience, managing multiple responsibilities, and contributing to both administrative and marketing initiatives. How You'll Get To Contribute Front Office & Operations: • Greet and direct visitors, clients, and team members as the main in-office representative. • Maintain the overall appearance, organization, and functionality of the office. • Oversee office supplies, furniture, décor, and ongoing facility needs. • Coordinate repairs, vendors, and service providers to ensure a well-functioning workspace. What You'll Get to Do • Build and maintain relationships with office suppliers, building services, and external partners. • Track and manage vendor contracts, service schedules, and renewals. Company Culture & Event Support • Plan and coordinate company events, team gatherings, and employee appreciation initiatives. • Manage ordering of branded merchandise, business cards, and promotional items. Marketing & Communications • Support the production and distribution of the CEO’s weekly newsletter. • Handle administrative and publishing tasks for the company podcast, including scheduling and episode distribution. • Assist with internal communications and brand-aligned content coordination. Finance & Collections Support • Track outstanding invoices and coordinate with Project Managers to ensure timely follow-up. • Assist in preparing and sending collection notices and maintaining invoice documentation. Who you are: Experience • 3+ years in office management, administrative support, event coordination, or related roles. • Experience in a professional service or consulting environment is a plus. Skills • Strong organization, time management, and multitasking ability. • Excellent written and verbal communication skills. • Comfortable working in a fast-paced environment and juggling multiple priorities. • Proficiency in Microsoft Office Suite / Google Workspace; familiarity with CRM or marketing platforms is a plus.
