Mayvue is seeking an Operations Analyst to ensure our financial and operational processes run smoothly, providing the backbone for delivering consistent value to state and local transportation clients. This position is 100% remote with Mayvue's office in Pittsburgh, PA. In this hands-on role, you will own time and billing accuracy, keep our tools and data aligned, and provide the operational signal that helps leaders and PMs make decisions. You will be a good fit if: You thrive on crisp execution, clear numbers, and clean systems You communicate directly, follow through, and hold others to the standard You are organized, deadline driven, and comfortable juggling multiple priorities with guidance You are fluent in spreadsheets and light dashboards, and you like making messy data usable You enjoy partnering with PMs, Finance, and Leadership to keep work moving Responsibilities: Review and audit weekly time and project data, ensuring accuracy and completeness across the organization Support the preparation and reconciliation of monthly invoices, surfacing discrepancies and coordinating resolution with project leads Maintain accurate project assignments, billing structures, and resource allocations Serve as a point of contact for accounting partners, assembling and providing documentation required for monthly and annual closes Monitor financial transactions, reconcile accounts, and ensure incoming payments are matched against outstanding invoices Track accounts receivable and coordinate professional follow-up communications on overdue items Administer contracts, statements of work, and renewals, maintaining visibility into key dates and deliverables Support vendor management including onboarding, documentation collection, and monitoring of active agreements Assist in compiling and coordinating responses to RFPs, RFIs, and related requests, ensuring accuracy and timely submission Develop and maintain operational dashboards and reports to provide leadership with insight into utilization, cash flow, and key performance metrics Assist with compliance activities including evidence collection, access reviews, and policy acknowledgments Provide operational support for onboarding and offboarding employees, ensuring processes are consistent and well documented Coordinate logistics for company travel, events, and reimbursements Keep internal process documentation current so team members can self-serve and work consistently Qualifications: 2 to 5 years in business operations, finance operations, or professional services operations Strong quantitative skills; able to reconcile data across multiple systems and spot patterns, gaps, and anomalies Proficient with spreadsheets and basic BI/reporting; comfortable building clean, reusable models and dashboards Working knowledge of core accounting concepts, including invoicing, AR/AP, reconciliations, and accruals Experience with time tracking and project billing in a services environment Clear, concise communicator who can drive follow ups and get to resolution with cross-functional teams Process minded with a knack for documenting SOPs and improving workflows without adding friction Exposure to compliance frameworks or audits is a plus, including evidence collection and access reviews Familiarity with public-sector procurement and RFP processes is preferred, not required Organized, deadline driven, and comfortable managing multiple priorities with minimal handholding Bachelor’s degree in Business, Finance, Operations, or equivalent practical experience Benefits: Unlimited PTO Life Insurance at no cost to employees Short-term and long-term disability at no cost to employees Paid maternity and paternity leave Healthcare insurance (Premiums are partially paid for by Mayvue) Dental and vision at no cost to employees and dependents Optional supplemental life insurance Receive $1,000.00 per year for Continuous Learning Allowance Receive 1 day paid per year as a Community Service Allowance Onsite gym in Pittsburgh office Health Savings Account and Dependent Care Flexible Savings Account Employer contributions to your 401(k) up to 50% of contributions on the first 5% deferred Have your favorite snacks and beverages when you work in our Pittsburgh Headquarters Hybrid/remote work available Flexible schedule Mayvue provides equal employment opportunities to all employees and applicants for employment and prohibits discrimination and harassment of any type without regard to race, color, religion, age, sex, national origin, disability status, genetics, protected veteran status, sexual orientation, gender identity or expression, or any other characteristic protected by federal, state or local laws.
