Assist with administrative tasks, coordinate meetings, manage invoices, and support office operations.
Requires experience with QuickBooks Online, Google Suite, and administrative support, which the candidate has limited exposure to.
Responsibilities: -Greet and welcome guests in a professional and friendly manner - Answer phone calls and emails - Provide administrative support to Office Manager and Account Managers - Schedule and coordinate meetings, appointments, and travel arrangements - Assist with project coordination and follow-up on action items - Maintain and organize files, both physical and electronic -Accounts Receivable Management: generate and issue customer invoices, collect and apply incoming payments, monitor and reconcile overdue invoices - Perform data entry and update databases as required in Quickbooks Online and Google Drive - Handle incoming and outgoing mail, packages, and deliveries - Provide general office support such as ordering supplies and maintaining office equipment Requirements: - Previous experience as a receptionist or administrative assistant preferred - Proficient computer literacy, including knowledge of Google Suite (Gmail, Google Docs, Google Sheets) -Proficient on Quickbooks Online - Excellent phone etiquette and interpersonal skills - Strong organizational and time management abilities - Attention to detail and accuracy in all tasks- Ability to multitask and work independently - Ability to handle confidential information with discretion - Background knowledge of the construction and landscaping industry is a plus - Familiarity with front desk operations is beneficial Note: This job description is not intended to be all-inclusive.
