Marwood General Construction is seeking an experienced Office Manager to oversee Accounts Payable, Accounts Receivable, certified payroll, and contract administration for heavy civil and public works projects across Western Washington. This role is critical to maintaining cash flow, compliance, and operational organization. Key Responsibilities: • Manage AP/AR and job cost tracking • Prepare AIA billings and progress pay applications • Process WA State and/or Davis-Bacon certified payroll • Maintain prevailing wage compliance (L&I Intent & Affidavits) • Manage contracts, subcontracts, and change orders • Track insurance, bonding, and subcontractor compliance • Maintain organized project and financial records Qualifications: • 3+ years construction office experience • Strong knowledge of AP/AR and job costing • Experience with certified payroll and public works compliance • Proficient in Excel and accounting software (QuickBooks or similar) • Highly organized and detail-oriented We are a veteran-owned heavy civil contractor specializing in excavation, utilities, concrete, and site development. Marwood General Construction is a fast-growing heavy civil contractor serving Western Washington public and commercial clients. We specialize in excavation, underground utilities, site development, and concrete for state and municipal projects. We need a high-level Office Manager who can own financial operations, compliance systems, and contract administration with precision and discipline. This is a leadership seat inside the company. What You Will Own Financial Control • Full AP/AR management • Progress billing & AIA pay applications • Cash flow tracking and aging management • Job cost allocation & cost-code accuracy Compliance Mastery • Certified payroll (WA L&I / Davis-Bacon) • Prevailing wage compliance • Intent & Affidavit submissions • Subcontractor compliance tracking • License, bonding, and SAM registration maintenance Contract Administration • Prime contracts & subcontracts • Change order management • Schedule of Values tracking • Project documentation systems Operational Systems • Build and refine repeatable office systems • Eliminate administrative bottlenecks • Maintain clean, audit-ready documentation • Improve efficiency and reporting visibility Who You Are • Detail-obsessed and structured • Calm under pressure • Financially literate and compliance-aware • Systems-driven (you don’t tolerate chaos) • High ownership mentality • Able to protect the company through organization and discipline • Comfortable operating in a growing construction environment You understand that in public works construction, paperwork is power. Experience Required • 5+ years in construction office operations • Strong AP/AR background • Certified payroll experience (WA preferred) • Public works / prevailing wage knowledge • Proficient in Excel and accounting software Heavy civil experience strongly preferred.
