Job Summary We are seeking a dynamic and highly organized Executive Assistant to provide comprehensive support to our executive leadership team. Responsibilities • Provide high-level administrative support, including preparing correspondence, proofreading documents, and transcribing notes with accuracy. • Coordinate projects by tracking deadlines, preparing reports, and ensuring timely completion of deliverables. • Handle office management duties such as filing, data entry, maintaining office supplies, and overseeing front desk operations. • Maintain professional phone etiquette while managing multi-line phone systems and responding promptly to inquiries. • Assist with bookkeeping tasks using QuickBooks and perform basic bookkeeping duties such as invoicing and expense tracking. • Support personal assistant responsibilities, including personal scheduling, errands, and confidential matters as needed. Experience • Proven experience as an executive assistant or in a similar administrative role with at least two years of office management or clerical experience. • Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools. • Strong organizational skills with the ability to multitask effectively in a fast-paced environment. • Excellent communication skills with the ability to handle customer service interactions professionally via phone or email. • Experience coordinating events or projects from inception to completion is highly desirable. • Familiarity with office equipment such as multi-line phone systems, fax machines, and printers is preferred. • Knowledge of DocuSign for electronic document signing processes is a plus.
