The Operations Support role is responsible for ensuring smooth daily operations with a primary focus on staffing coverage and substitute management. This position oversees daily staffing needs, ensures appropriate substitute coverage, and supports compliance with licensing requirements and student-to-child ratios. The Operations Support team member serves as a hiring manager for substitute staff, supervises substitute performance, and maintains frequent early-morning and evening communication to support operational continuity. This role also provides administrative and front desk support and collaborates closely with leadership, including the Director of Admissions. This position may require additional duties beyond those listed above, based on the operational needs of the school or department. Key Responsibilities Staffing & Substitute Management. Keeping in mind labor laws for meal breaks and rest periods for non-exempt employees, as well as California licensing requirements for child-to-adult ratios in Toddler and Primary programs, coordinate the daily staffing schedule based on attendance each day. • Organizes and updates the Substitute Calendar for the Corte Madera teaching staff, and reminds employees to plan ahead for coverage needs if they anticipate being out. • Serve as the point of contact and coordinator for the Corte Madera campus teaching staff who are unable to come to work due to illness. • Ensures proper coordination of staffing coverage needs in classrooms during the school day, including breaks, and for ASC. • Sends out a daily email to the Corte Madera Crew with staffing updates • Maintain familiarity with daily teaching schedules and classroom assignments • Serve as hiring manager for substitute staff, including recruitment, onboarding, and training • Supervise, support, and evaluate substitute staff performance Qualifications and Skills: • Experience in operations, staffing coordination, or school administration preferred • Knowledge of licensing requirements and student-to-child ratios (or ability to learn quickly) • Strong organizational and problem-solving skills • Ability to manage time-sensitive situations calmly and efficiently • Excellent verbal and written communication skills • Ability to supervise staff and manage hiring processes • Flexibility to work early mornings, evenings, and occasional extended hours as needed
