Job Summary: This is not your average management role! We are looking for a detailed, energetic, and dynamic individual who thrives in fast-paced and social environments. We are seeking a highly organized and proactive Operations Manager to supervise daily business functions and ensure smooth operational workflows. This role requires strong leadership, financial oversight, and the ability to manage multiple priorities in a dynamic environment. The Operations Manager will oversee accounting and bookkeeping tasks, manage office and food bank operations, and provide administrative and HR support to maintain efficiency across the organization. We are looking for a self-starting, motivated and outgoing person who is detail-oriented, excels in communication, and will be innovative and interested in making suggestions for positive improvements. A successful candidate will help build a positive team environment and establish working relationships inside and outside the Maple Valley Food Bank. Basic Qualifications: • Bachelor’s Degree in Business Administration, Finance, or related field, or equivalent experience. • 3+ years of experience in operations management or similar role. • Proficiency with Microsoft Office and accounting software (e.g., QuickBooks). • Strong understanding of GAAP and financial reporting principles. • Strong organizational and interpersonal skills. • Ability to learn new technologies and systems quickly. Preferred Qualifications: • 5 Years Experience with QuickBooks or QuickBooks Online. • Experience with food bank operations. • Superior attention to detail and ability to meet deadlines. • Outstanding written and verbal communication skills. • Demonstrated ability to design and improve processes. • Ability to prioritize and handle multiple projects/assignments at any given time. • High level of integrity and discretion Requirements: • Must have reliable personal transportation and provide proof of valid Washington State Driver’s License • Must be at least 25 years of age to drive company vehicle and be insurable • Must be able to pass a criminal history background check • Must be able to sit/stand for periods of up to four hours • Must be able to lift 50 pounds • Must have or be able to obtain Food Handlers Permit Responsibilities: Accounting & Bookkeeping: • Process contracts and invoices, working with other team members as required. • Manage bank deposits, record transactions and perform reconciliations • Oversee MVFB’s payroll o Prepare financial statements, budgets, and forecasts when requested. • Work with Executive Director and MVFB’s Board Treasurer regarding financial oversight. This includes analyzing financial data, assisting in independent audits, tax preparation, and ensure compliance. Facility Operations: • Oversee day-to-day office functions. • Manage facilities alongside the Market & Warehouse Coordinator. • Coordinate with IT Contractor regarding any technology matters. • Oversee any contractors required for ongoing maintenance and improvement. • Develop and implement new systems to optimize processes. This includes warehouse logistics for smooth operation and audit purposes. • Work with Executive Director to implement the facility development strategy to expand operations. • Supervise the Market & Warehouse Coordinator and successful operation of MVFB’s Food Program. Donation Processing • Coordinate with the Development Manager for any incoming donations of food, gifts, or other items that will be received and stored by the Operations Program. • Coordinate with the Community Services Manager regarding any outgoing items related to non-food programs (e.g. Christmas gift items) that are held in operations for an agreed handover date. Other tasks: • Complete detailed data entry, update and maintain files, and maintain accurate records and planning systems. • Maintain and promote positive public relations with the community, clients, and volunteers. • Perform office duties such as answering phones, keeping calendars, coordinating appointments, picking up, sorting and distributing mail, and other clerical duties. • Perform all other duties as assigned.
