Job Overview We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience in office management, customer service, and clerical tasks. The position involves managing front desk responsibilities, handling multi-line phone systems, and providing exceptional support to team members and clients alike. Responsibilities • Manage front desk operations, including greeting visitors and directing calls • Operate multi-line phone systems with professionalism and courtesy • Perform data entry, filing, and document proofreading to ensure accuracy • Utilize Microsoft Office Suite and Google Workspace for report creation, correspondence, and scheduling • Assist with calendar management and appointment scheduling for staff and clients • Handle customer service inquiries via phone, email, or in person with excellent phone etiquette • Maintain organized office files and records for easy retrieval • Support bookkeeping tasks using QuickBooks or similar software as needed • Provide general office management support to ensure smooth daily operations • Assist with special projects such as event planning or administrative tasks as assigned Requirements • Proven office experience or administrative background with clerical skills • Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications • Strong organizational skills with the ability to prioritize tasks effectively • Excellent communication skills, both verbal and written; bilingual abilities are a plus • Experience with multi-line phone systems and customer support roles such as dental or medical receptionist is preferred • Demonstrated ability to handle confidential information discreetly • Strong typing skills with attention to detail for proofreading and data entry tasks • Ability to manage time efficiently in a fast-paced environment • Previous experience in office management or personal assistant roles is beneficial This position is integral to maintaining an efficient office environment while providing exceptional support to staff and clients.
