Job Title: Accounts Receivable Specialist - Service & Preventative Maintenance Collections Company Overview: MacDonald-Miller Facility Solutions is the Northwest’s leading mechanical contracting firm, specializing in HVAC, plumbing, and automation system solutions for commercial buildings. Role Overview: As an Accounts Receivable Specialist focused on Service & Preventative Maintenance Collections, you will play a critical role in managing and optimizing the company’s cash flow. You will be responsible for ensuring timely collection of payments, maintaining accurate financial records, and supporting the finance team to enhance overall operational efficiency. What You'll Do: - You will manage accounts receivable processes specifically for service and preventative maintenance contracts. - You will follow up on overdue invoices and communicate effectively with clients to resolve payment issues. - You will reconcile customer accounts and ensure accurate application of payments. - You will collaborate with the sales and service teams to verify contract terms and billing accuracy. - You will prepare and maintain detailed reports on collections status and aging accounts. - You will assist in month-end closing activities related to accounts receivable. - You will identify and recommend process improvements to enhance collections efficiency. - You will maintain compliance with company policies and accounting standards. What You Bring: - You bring at least 3 years of experience in accounts receivable or collections, preferably in a service-oriented industry. - You have strong knowledge of accounting principles and accounts receivable processes. - You are proficient in using accounting software and Microsoft Office, especially Excel. - You possess excellent communication and negotiation skills to manage client relationships. - You have strong organizational skills and attention to detail. - You are capable of working independently and as part of a team in a fast-paced environment. Bonus Points If You Have: - Experience with mechanical contracting or facility services industries. - Familiarity with ERP systems such as SAP or Oracle. - Knowledge of preventative maintenance contract billing. - Additional certifications in accounting or finance.
