Job Title: Accounts Receivable Specialist - Service & Preventative Maintenance Collections Company Overview: MacDonald-Miller Facility Solutions is the Northwest’s leading mechanical contracting firm, specializing in HVAC, plumbing, and automation system solutions for commercial buildings. Role Overview: As an Accounts Receivable Specialist focused on Service & Preventative Maintenance Collections, you will play a critical role in managing and optimizing the company’s cash flow. You will be responsible for ensuring timely collections, maintaining accurate records, and supporting the finance team to enhance overall financial performance. What You'll Do: - You will manage accounts receivable processes specifically for service and preventative maintenance contracts. - You will monitor customer accounts and follow up on overdue invoices to ensure timely payments. - You will collaborate with the sales and service teams to resolve billing discrepancies and customer inquiries. - You will prepare and maintain accurate financial records and reports related to collections. - You will assist in the reconciliation of accounts and support month-end closing activities. - You will communicate professionally with customers to maintain positive relationships while ensuring collections. - You will identify and recommend process improvements to enhance collection efficiency. - You will support audit activities by providing necessary documentation and information. What You Bring: - You bring at least 3 years of experience in accounts receivable or collections, preferably in the service or facilities management industry. - You have strong knowledge of accounting principles and accounts receivable processes. - You are proficient in using accounting software and Microsoft Office, especially Excel. - You possess excellent communication and negotiation skills. - You have strong attention to detail and organizational abilities. - You are capable of working independently and as part of a team in a fast-paced environment. Bonus Points If You Have: - Experience with ERP systems such as SAP or Oracle. - Familiarity with mechanical contracting or facilities services industry. - Additional certifications in accounting or finance. - Experience in customer service or client relationship management.
