About Luma Advisory Luma Advisory is a boutique education consulting firm supporting high-achieving students and families through academic planning, summer program strategy, and U.S. college admissions. We’re hiring a Case Lead who can own client relationships end-to-end while keeping execution tight: timelines, deliverables, follow-ups, and internal coordination. This is a great fit for someone who’s warm and confident with families, but also systems-minded—someone who naturally thinks, “What’s the next step, who owns it, and how do we make sure it gets done?” What You’ll Do Lead a Student “Case” From Start to Finish • Own 8–15 student accounts (depending on season), acting as the primary day-to-day lead alongside the founder’s strategy. • Run client communication (email/text; occasional calls), keep families informed, and maintain a high-touch, calm, professional experience. • Translate strategy into weekly actions for the student + family—clear assignments, deadlines, and expectations. Project-Manage Deliverables + Deadlines (Ops Mindset) • Drive completion of core materials (brag sheets, activity lists, resumes, parent intake, school forms, recommenders logistics, etc.). • Track tasks and status accurately in our system (e.g., Monday.com/Sheets), and ensure nothing slips. • Proactively follow up with families and internal team members; escalate risks early (missing docs, slow responsiveness, schedule conflicts). Coordinate Internal Execution • Partner with essay coaches, test prep, and specialists to align student workstreams and prevent duplication/confusion. • Write crisp internal notes and handoffs so any teammate can pick up context instantly. • Support light process improvement: refine checklists, templates, and “best practice” workflows as you notice gaps. Maintain Quality + Client Confidence • Review work product for completeness and clarity before it reaches the founder or the family. • Keep tone and communication consistent with our brand: warm, precise, and high standards. Who You Are (Must-Haves) • Strong English communication (written + spoken) with excellent tone control (warm, polished, calm). • Experience owning client relationships (education, counseling, account management, consulting, or similar). • Highly organized and reliable: you don’t drop details and you follow through. • Systems-minded executor: you naturally build structure, checklists, timelines, and make progress visible. • Comfortable with high expectations and sensitive information; you’re discreet and professional. Nice-to-Haves • Familiarity with college admissions / high school academic planning. • Comfort with tools like Google Workspace, Monday.com/Asana, Notion, Airtable, HubSpot. • Experience working with international or high-achieving families. • Conversational or professional Mandarin for occasional client communication and/or collaboration with Mandarin-speaking families.
