Reporting directly to the HR Administrative Manager, the Human Resources Administrative Assistant is a non-supervisory position that primarily supports the Administrative and Workforce Planning Divisions, and may support other HR divisions, by responding to routine and sensitive inquiries from County staff, citizens, and public officials in a prompt and courteous manner. The successful candidate will be able to work in a team-focused environment, independently and handle shifting priorities with agility, organizing and prioritizing work to meet departmental deadlines. The HR Administrative Assistant is an essential position within the Department of Human Resources and will serve as the point of contact in a highly visible customer focused environment, performing a wide range of confidential Human Resources and administrative functions across multiple HR program areas. Key Responsibilities: • Advertising job ads and finalizing recruitment closeouts; • Responds to employment recruitment and job application inquiries; • Experience working in NEO Gov onboarding new employees; • Assists in the coordination of HR recruitment activities in NEO Gov; • Responds to employment verification inquiries; • Assists in tracking Virginia unemployment submissions and claims; • Assists in the development and editing of divisional SOPs; • Serves as a records retention coordinator; • Maintains Human Resources Official Personnel File management; • Provides orientation for new employees by sharing onboarding packages and explaining County policies; • Ensures compliance with the federally regulated I-9/Employment Eligibility Verification program; • Assists in coordinating the County’s Employee Photo ID Program; • Assists in the coordination of the County’s Service Award Program; • Prepares reports and presentations for internal communications; • Assists with covering the Human Resources front counter, answering phones, general inquires and processing of incoming mail; • Maintains departmental email boxes, calendars, and meeting room schedules; • Tracks office supply inventories and orders supplies for HR divisions; • Maintains confidentiality in the performance of job duties; • Contributes to the coordination and setup of various departmental related events; • Provides administrative support to departmental staff with special projects. Requires any combination of education and experience equivalent to a high school diploma and four (4) years directly related administrative experience. Proficiency in MS Office software required. Certified Administrative Professional (CAP) and previous related Human Resources experience with HRIS software and NEOGOV are desirable. Experience with posting job announcements and Virginia Notary Commission strongly preferred.
