Job Summary: The Outreach Intake Coordinator is responsible for assisting patients in establishing care with a LifeStance provider across a region. Tasks include initial assessment scheduling, collection of necessary demographic and insurance information, handling of patient referrals from multiple sources (internal/external) and reviewing clinical history to properly match a patient to the most appropriate provider, management of external referrals from various sources and additional administrative tasks, as needed. Ideal candidates should be able to quickly learn and adapt to the intake department processes and technology. Candidates should be able to work independently, be critical thinkers, adaptable, and team players. Outreach Intake Coordinators will be required to learn the processes of multiple states to support volume across the region. Technology includes Electronic Health Record (EHR), appointment scheduling, phone, and contact center systems. Location: Remote Call Center Candidate must reside in the Central Standard Time/CST zone or Eastern Standard Time/EST zone. Schedule: Monday-Friday, Shift may start as early as 8:00am or as late as 9:00am. Compensation: $20.25 Current Intake Coordinator candidates eligible for $.25 increase to hourly rate Responsibilities: Patient/Customer Interaction: Act as the initial point of contact for patient/customer, addressing inquiries and guiding them through the initial appointment scheduling process. Gather relevant information from patients to assess their needs and determine eligibility for services. Documentation and Data Entry: Create and maintain accurate and up-to-date client records through meticulous data entry. Ensure that all required documentation is collected and stored appropriately. Coordination with Internal Teams: Collaborate with internal departments to relay patient information and facilitate a smooth transition from intake (scheduling) to service delivery. Communicate effectively with colleagues to ensure a comprehensive understanding of patient requirements. Process Improvement: Identify opportunities for process improvement within the intake workflow and contribute to the development of streamlined procedures. Compliance: Adhere to all relevant policies, regulations, and compliance standards throughout the intake process. High school diploma or equivalent; bachelor’s degree preferred. Proven experience in a similar role, preferably in a healthcare or social services setting. Clear understanding of insurance-related terminology and processes Strong communication and interpersonal skills. Excellent organizational abilities and attention to detail. Proficient in utilizing Electronic Medical Record (EMR) systems and strong IT skills for efficient workflow. Ability to handle sensitive information with confidentiality. Familiarity with relevant compliance standards. Empathetic and patient demeanor. Ability to work collaboratively, in a fast-paced team environment. Strong problem-solving skills.
