The ideal candidate will serve as the first point of contact for patients, providing exceptional customer service while managing administrative tasks efficiently. This role requires a strong understanding of medical office procedures, EMR systems, and healthcare documentation to ensure smooth clinic operations and patient satisfaction. Duties • Greet patients and visitors promptly and courteously, establishing a welcoming environment • Schedule appointments using electronic health record (EHR) systems such as Epic, Meditech, eClinicalWorks, or Athenahealth • Verify insurance coverage and perform insurance verification processes • Collect patient payments and process medical billing using appropriate CPT and ICD coding standards • Manage patient check-in and check-out procedures, including intake forms and documentation review • Maintain accurate medical records and ensure compliance with HIPAA regulations • Handle multi-line phone systems with professional phone etiquette, directing calls appropriately • Assist with filing, data entry, and maintaining organized patient files in dental or medical office management software like Dentrix or Eaglesoft • Support administrative tasks such as appointment reminders, follow-up calls, and documentation updates • Collaborate with clinical staff to facilitate care plans and ensure seamless communication between patients and providers Requirements • Prior experience in a medical office setting, preferably in physical therapy or dental clinics • Proficiency with EMR/EHR systems including Epic, Meditech, eClinicalWorks, or Athenahealth • Knowledge of medical billing, coding (CPT, ICD-9/10), and insurance verification processes • Familiarity with HIPAA regulations and health information management best practices • Strong computer skills including Microsoft Office Suite (Word, Excel) and typing proficiency (10-key typing) • Excellent customer service skills with professional phone etiquette and effective communication abilities • Ability to handle administrative support tasks efficiently in a fast-paced environment • Bilingual abilities are a plus to serve diverse patient populations • Experience with dental terminology or clinic experience is desirable but not required • High attention to detail in documentation review and data entry tasks This role offers an opportunity to contribute to a compassionate healthcare environment while developing valuable administrative skills within the medical field.
