Job Title: HR Systems Specialist Department: Human Resources – HR Shared Services Location: Remote with flexibility to be in Passaic County, NJ office location once a week or as needed Position Summary The HR Systems Specialist provides advanced HR support with a focus on Tier 2 HRIS case resolution, leave of absence administration, and day-to-day management of HR technology platforms (including HRIS, ATS, and LMS). This role ensures data accuracy, system efficiency, and delivers exceptional support to employees and managers. Additionally, the HR Systems Specialist partners on HR initiatives and projects to enhance HR Shared Services delivery. Key Responsibilities System Administration & Support • Act as Tier 2 escalation point for HR system tickets (employee record updates, access issues, data corrections). • Support HRIS Manager with user access, permissions, and training assignments. • Maintain data integrity through regular audits and monitoring. • Process employee lifecycle transactions (hires, transfers, terminations, promotions). • Generate and support HR reporting needs (headcount, turnover, compliance, dashboards). Process Optimization & Enhancements • Collaborate with HR stakeholders to evaluate and streamline HR processes within systems. • Assist with system configuration, testing, and implementation of new features, upgrades, or integrations. • Develop and maintain system documentation and job aids. • Analyze ticket trends and recommend solutions to reduce repetitive inquiries. Leave Administration • Support leave of absence processes, including initiating and managing cases (FMLA, parental, disability, state-mandated, company leaves). • Liaise with third-party leave administrators to ensure seamless employee support. • Communicate eligibility, pay impacts, and return-to-work expectations to employees and managers when appropriate. • Ensure compliance with federal, state, and company leave policies. • Escalate complex leave cases to HRBP or Sr. HR Operations Manager as needed. Qualifications Education: • Bachelor’s degree in Human Resources, Business Administration, Information Systems, or related field (or equivalent experience). Experience: • 4–6 years of progressive HR experience, including HRIS and leave management. • Hands-on experience with systems such as UKG, Workday, SAP SuccessFactors, Oracle HCM, or similar. • Prior experience in HR Shared Services or HR Operations strongly preferred. Skills: • Bilingual (English/Spanish). • Strong analytical and problem-solving skills. • Excellent attention to detail and data accuracy. • Proficiency in Excel and HR reporting tools. • Ability to manage multiple priorities in a fast-paced environment. • Strong interpersonal and communication skills; ability to train and support end users. • Knowledge of FMLA, ADA, and state leave programs.
