Executive Assistant to the Chief Executive Officer We are seeking a highly organized, proactive, and discreet Executive Assistant to the Chief Executive Officer (CEO) to provide high-level administrative, calendaring, and communications support. Executive & Calendar Management • Actively manage the CEO’s daily workflow by aligning the calendar with established priorities, protecting focus time, and supporting smooth transitions between meetings • Schedule and coordinate internal and external meetings, events, and speaking engagements, gently enforcing protocols and priorities for the CEO’s time as needed • Maintain annual calendars and invitations for the Board of Directors, Board Committees, and senior and extended leadership teams • Proactively identify, request, and organize agendas, background materials, and logistics to ensure the CEO is fully prepared for meetings, events, and speaking engagements • Maintain contact lists, meeting and catering resources, dietary preferences, and other logistical details related to executive meetings and events • Arrange occasional travel for the CEO • Communicate professionally, effectively, and promptly with a wide range of constituents, including board members, elected officials, donors, community partners, internal leaders, vendors, and administrative professionals • Support the CEO’s response to time-sensitive correspondence and requests by drafting and routing documents with discretion and accuracy, researching context, and documenting external interactions • Route documents for executive review and approval, including contracts, agreements, internal communications, and donor correspondence • Maintain highly organized records, shared drives, and administrative systems • Always uphold a strict level of confidentiality Required Skills & Qualifications • Associate’s or Bachelor’s degree, or equivalent professional experience • Minimum of three (3) years of executive-level administrative support experience (CEO or C-suite preferred) • Exceptional calendar management and prioritization skills • Advanced Microsoft Office skills, including PowerPoint, Teams, and SharePoint • Ability to meet deadlines in a fast-paced, rapidly changing environment with strong attention to detail and sound independent judgment Pay Details: $36.00 to $40.00 per hour Search managed by: Gerald Morales Benefit offerings available for our associates include medical, dental, vision, life insurance, short-term disability, additional voluntary benefits, EAP program, commuter benefits and a 401K plan.
