The Operations Manager is responsible for overseeing and executing the day-to-day operational and administrative functions of the firm, including internal workflows, HR administration, payroll coordination, and vendor management. This role ensures that systems, people processes, and firm operations run smoothly, compliantly, and efficiently. The Operations Manager serves as the operational backbone of the firm, supporting advisors and leadership by maintaining clarity, consistency, and follow-through across operations, people administration, and client service workflows. This is a hands-on execution role designed to support a stable, one-advisor operating model with flexibility to scale in the future. Role Overview As an Operations Manager, you will: • Own and execute the firm’s day-to-day operational and administrative workflows • Manage HR and payroll administration processes to ensure accuracy, compliance, and consistency • Coordinate scheduling, logistics, and follow-through across advisors, client service, and marketing activities • Maintain operational and people-process consistency across systems, vendors, and compliance requirements • Support leadership by translating priorities into organized, repeatable execution This role is highly hands-on and detail-oriented, with success measured by operational reliability, clarity, and continuity. Key Responsibilities Firm Operations & Workflow Management • Manage daily operational workflows to ensure tasks are completed accurately and on time • Maintain and document standard operating procedures (SOPs) • Coordinate internal deadlines, deliverables, and follow-ups • Monitor operational capacity and flag bottlenecks or risks early HR & Payroll Administration • Administer payroll processes in coordination with external payroll providers • Ensure accurate tracking of: • Employee hours (where applicable) • PTO and holiday schedules • Payroll changes and updates • Support onboarding and offboarding processes, including: • New hire paperwork • System access coordination • Benefits enrollment coordination • Maintain employee records and HR documentation in compliance with firm policies • Coordinate with external HR, benefits, or PEO partners as applicable • Serve as the first point of contact for basic HR and administrative employee questions This role does not set HR policy or compensation strategy, but executes and administers approved processes. Advisor & Client Service Support • Support advisors with scheduling, meeting preparation, and post-meeting follow-up workflows • Ensure client service requests are routed, tracked, and resolved promptly • Coordinate account-related tasks in partnership with client service and compliance teams • Maintain consistency in the client experience across touchpoints Marketing & Event Operations • Coordinate seminar and event logistics, including: • Scheduling • Vendor coordination • Materials preparation • Attendee tracking • Maintain operational support for marketing initiatives (logistics and execution only; strategy owned elsewhere) • Track event-related workflows and handoffs into the client meeting pipeline Systems, Tools & Data Management • Maintain accurate records across CRM, scheduling, HR, and document management systems • Ensure operational and people-related data is up to date and reliable • Support internal reporting related to operations, scheduling, and staffing • Coordinate with IT and software vendors as needed Compliance & Vendor Coordination • Support compliance workflows in coordination with external compliance partners • Ensure operational adherence to internal policies and regulatory requirements • Coordinate with external vendors (IT, payroll, HR, compliance, marketing, facilities) • Maintain organized records for audits and reviews Required Experience & Competencies Candidates must demonstrate proficiency in the following areas: • Operations & Administration Experience: 3–6 years in operations, office management, HR administration, or business operations roles • Payroll & HR Exposure: Hands-on experience administering payroll and employee records • Financial Services Exposure: Experience in an RIA, financial advisory firm, insurance firm, or other regulated environment strongly preferred • Workflow Discipline: Ability to manage multiple concurrent workflows with accuracy and follow-through • Systems & Tools: • Payroll platforms (e.g., Gusto, ADP, Paychex, or similar) • CRM platforms (HubSpot, Salesforce, Redtail, Wealthbox, or similar) • Scheduling tools (Calendly or similar) • Document management systems (Egnyte, SharePoint, or similar) • Google Workspace and/or Microsoft Office • Communication: Clear, professional communication with advisors, vendors, and staff • Execution Mindset: Comfortable operating in a hands-on, execution-first role Qualifications Required • Prior experience in operations, HR administration, payroll, or office management roles • High attention to detail and confidentiality • Ability to work within defined processes and improve them incrementally • Strong follow-through and accountability • Professional, calm, and collaborative working style Preferred • Experience in a regulated or compliance-driven environment • Familiarity with RIA or financial advisory firm operations • Experience supporting leadership teams or small professional offices • Comfort working in a lean, growing firm environment Compensation & Benefits • Base Salary: $65,000 – $85,000, depending on experience • Medical & dental contributions • 401(k) with employer match • Paid holidays and PTO • Professional development support • Free parking and on-site fitness center Work Model & Location • Location: Bellevue, WA (In-Person) • Schedule: Monday–Friday, 8:00am–5:00pm (flexible) • Travel: Minimal • Sponsorship: Not available Equal Opportunity Employer Leverage Planners is an equal opportunity employer and values diversity.
