POSITION OVERVIEW The Senior Specialist | Procurement is a pivotal role within the FF&E team responsible for leading all procurement of furniture, art, accessories and any related decor items for all FF&E projects. This role works closely with vendors and installers throughout the life cycle of each FF&E project. This position requires a blend of creativity, analytical thinking, technical skills, and a strong attention to detail. The Senior Specialist | Procurement will work independently and collaborate closely with multiple design team members to ensure the successful completion of the procurement and installation process for every FF&E project. KEY RESPONSIBILITIES PROCUREMENT • Procure all furniture, artwork, accessories and related decor items for all FF&E projects, ensuring accuracy in specifications, pricing, finishes, and quantities • Prepare, submit, and manage purchase orders through all stages: creation, approval, vendor confirmation, production, delivery, invoicing, and final payment • Negotiate and maintain trade discounts with vendors • Ensure vendor discounts are properly applied on all orders • Track every item from the point of order through delivery, ensuring timeliness and resolving delays proactively • Maintain detailed documentation for all orders, including order logs, confirmations, spec sheets, warranties, and vendor communication • Monitor budgets, reconcile vendor invoices, and support financial accuracy across projects • Coordinate with the design team on reselections, substitutions, backorders, fabric delays, finish changes, and client-requested revisions • Attend FF&E installations and assist design team with installation and close out of projects VENDOR RELATIONS • Foster strong vendor partnerships to support successful projects, competitive pricing, and dependable service • Communicate regularly with clients, vendors, subcontractors, and installers with professionalism and clarity • Coordinate install vendors throughout the life cycle of each project • Manage damage claims, returns, replacements, and freight issues with efficiency and diplomacy PROJECT & INSTALLATION COORDINATION • Prepare install packets, delivery logistics, inventory lists, and on-site direction, as needed • Attend FF&E installations and assist the design team with on-site coordination, styling, receiving, punch lists, and final close-out • Ensure items are delivered on time, properly inspected, and installed according to project standards PROCESS, SYSTEMS & STANDARD OPERATING PROCEDURES (SOPs) MANAGEMENT • Maintain and update procurement Standard Operating Procedures (SOPs), as needed • Maintain and refine procurement to support consistency and efficiency • Support team members on procurement related processes and software • Identify opportunities to streamline workflows, reduce errors, and enhance transparency for internal teams • Collaborate with leadership to implement software improvements, new vendor processes, and procurement best practices PROFESSIONAL QUALIFICATIONS • 5-10 years of procurement experience, with at least 3 years experience in the Interior Design or related field • Bachelor's degree preferred • Google Workspace experience preferred • Houzz Pro or other similar project management software experience preferred • High attention to detail and accuracy • Creative problem solving skills • Collaborative, adaptive and growth mindset • Proven ability to manage high volumes of orders without sacrificing accuracy • Exceptional communication, organization, time management, and follow-through • Ability to work autonomously, make informed decisions, and manage competing priorities • Strong vendor negotiation skills and comfort navigating trade relationships • Flexible, resourceful, and committed to continuous improvement PHYSICAL REQUIREMENTS • Ability to stand, walk, or be on feet for extended periods during FF&E installations • Ability to lift, carry, push, or pull up to 50–60 lbs as needed for unpacking, staging, or assisting with FF&E installations • Ability to bend, stoop, reach, and perform light physical tasks required during installation and styling such as sliding furniture, securing rugs or organizing decor • Must be able to visually inspect FF&E items for quality, finish accuracy, and damage • Comfortable working in active jobsite environments, which may include dust, noise, varying temperatures, use of on-site portable restrooms, or uneven surfaces TRAVEL REQUIREMENTS • Annual Required Travel: ~50-75 days to support FF&E installations both instate and out of state (currently Southeast/Mid Atlantic and Southwest), plus 7-15 days for company events and markets/conferences • Must live within an hour’s drive of a major airport • Must be comfortable traveling by air for projects located more than a 3 hours drive • Must have a valid driver's license and maintain appropriate auto insurance coverage in accordance with company guidelines • Must have access to a reliable personal vehicle available for travel to project sites, installations, vendor locations, and company-related events • Ability to transport by vehicle, small FF&E items, samples, or project materials, as needed
