We are looking for a Payroll Project Coordinator to assist with payroll-specific initiatives, focusing on documenting technical requirements, supporting system configuration activities, and ensuring project tasks are completed on schedule. This junior-level role is ideal for someone with a strong understanding of payroll operations who is eager to grow their skills in project coordination, payroll systems, and cross-functional collaboration. The Payroll Project Coordinator will work closely with Global Payroll, HR Services, Corporate Benefits, and CIO teams to support changes to the U.S. payroll system, UKGPro, particularly when updates are driven by regulatory changes, process improvements, or modifications to employee benefit offerings. This role requires strict attention to detail, solid organizational skills, and a willingness to learn and adapt in a fast-paced environment. Key Responsibilities: Project Support & Coordination Own and manage assigned payroll system initiatives, ensuring deliverables are completed on time, within scope, and aligned with business goals. Develop and maintain project plans, track progress, and ensure accountability for milestones across stakeholders. Support project managers in preparing status updates, reports, and meeting notes. Help project team schedule project meetings, set agenda, document decisions and coordinate project activities across Global Payroll, HR Services, Corporate Benefits, and CIO teams. Requirements Gathering & Documentation Assist in gathering and documenting business and technical requirements for payroll system changes. Partner with Payroll System Analysts to translate requirements into configurable requirements that must be implemented into the US payroll system, UKGPro; with limited assistance provided for international payroll systems. Maintain accurate and organized project documentation for reference and compliance purposes. Oversee testing efforts, approve results, and confirm readiness for production implementation. Payroll Operations Support Evaluate how proposed system or process changes will affect payroll operations, compliance, and efficiency. Recommend process adjustments or system configurations to ensure accuracy, timeliness, and regulatory compliance. Collaborate with benefits and HR teams to ensure seamless integration of benefit program changes into payroll processing. Cross-Functional Communication Serve as a key point of contact for project communications proactively providing updates to and documenting items that need to be socialized with the Office of Change Management Director for broader socialization. Participate in meetings, take detailed notes, and follow up on assigned action items. Support stakeholder engagement by providing timely updates on assigned tasks. Ensure project documentation is complete, accurate, and audit-ready Qualifications: Required: High School Diploma and 3+ years of payroll operations or HRIS-related experience. Technical experience with testing and making changes to payroll systems configuration (e.g., UKGPro, Workday, ADP, etc.). Strong written communication skills with the ability to produce clear, organized documentation. Basic understanding of U.S. payroll processes and compliance requirements. Excellent attention to detail and organizational skills. Proficiency with Microsoft Office/365 applications with advanced skills in Excel and PowerPoint. US citizenship is required. Preferred: Bachelor’s degree in Business, HR, Information Systems, or a related field Exposure to project coordination or support roles, especially within an HR or payroll environment. Solid understanding of how employee benefits must integrate seamlessly with payroll systems. Interest in building skills in project management and system configuration. Working knowledge of project management software such as Microsoft Planner or Project. Desire to learn Microsoft Power platform tools such as Power BI for advanced reporting and analytics.
