Job Title:: Executive Assistant Project: Leadership Convention by NAAAP Organization: NAAAP (National Association of Asian American Professionals) Location: Remote Work Hours: Need to be available Monday - Friday morning 8 - 10 AM Indochine (Bangkok, HCMC) time, which is also Sunday - Thursday 8 - 10 PM Eastern U.S. Time. Other working times are flexible. Work Timeframe: Jan 2, 2026 - Apr 30, 2026 (Internships) or Jan 2, 2026 - July 31, 2026 (Contractor or Volunteers) Commitment: Part-time to Full-time (may be contractor or intern) About Us NAAAP is an Asian American nonprofit professional organization dedicated to uplifting Asian communities in North America through education, advocacy, cultural celebration, and leadership development. Each year, NAAAP hosts a 500+ attendee Leadership Convention that brings together professionals, entrepreneurs, community leaders, artists, students, and allies to share stories, build connections, and inspire collective action. Overview of Role We are seeking a highly organized and proactive Executive Assistant to support the Convention Director and leadership team in delivering a seamless, impactful convention and other events. The Executive Assistant will play a central role in coordinating operations, managing communications, and ensuring the leadership team is equipped to execute a successful event. This role requires exceptional attention to detail, cultural awareness, and the ability to thrive in a dynamic, mission‑driven environment. Key Responsibilities • Provide high‑level administrative support to the Convention Director and senior leadership (Deputy Convention Director, Programming Manager, Project Manager, On-Site Manager) including but not limited to managing calendars; scheduling meetings; taking meeting minutes (with the help of AI note taker); distributing action items via email and ClickUp; conducting research; making phone calls; drafting emails, memos, presentations, and other communications; and coordinating logistics across multiple time zones. • Assist the Project Manager in executing and tracking the project plan through ClickUp. • Assist the Programming Manager in the development of event programming, stakeholder coordination, and event execution. • Coordinate convention planning and logistics by answering convention-related emails, tracking expenses and maintaining finances, coordinating space planning and food and beverage logistics, managing guestroom assignments. • Maintain organized digital files, documents, and project management systems. • Serve as a point of contact for internal teams, partners, sponsors, vendors, and speakers Required Qualifications • Strong organizational skills with the ability to manage multiple priorities and manage documents. • Excellent written and verbal English communication skills. • Proficiency with productivity tools, such as Google Workspace (e.g. Gmail, Google Calendar, Google Meet, Google Docs, Google Sheets, and Google Slides),and Microsoft Office (e.g. MS Word, MS Excel, and MS Powerpoint) • Ability to maintain confidentiality and handle sensitive information with discretion.
