Closing Assistant – Job Description 📍 Location: Richfield, OH Office Location 🕐 Employment Type: Full-Time | Monday–Friday (sometimes weekends) 💼 Experience Level: 2+ Years in Office Management Preferred 💲 Salary Range: $50,000 📝 Benefits: Health Reimbursement, PTO, 401(k), and Growth Opportunities About the Role We are seeking a highly organized, detail-oriented Closing Assistant to support the Closing Director with all administrative and documentation workflows related to real estate transactions. This role is essential to maintaining accuracy, compliance, and efficiency across our closing pipeline. The ideal candidate is proactive, dependable, and comfortable managing multiple tasks in a fast-paced environment. Strong written communication and exceptional attention to detail are must-haves. This position plays a direct role in ensuring smooth closings, accurate document preparation, and timely submissions that impact company performance, client satisfaction, and operational excellence. Key Responsibilities: Document Preparation & Transaction Support - Draft Purchase and Sale Agreements, Extensions, Addendums, Assignments, Transfer Forms, and Deeds for real estate transactions. - Prepare and route refinancing applications and term extensions for internal and external approval. - Prepare Profit Share Agreements and coordinate electronic signature collection. File Management & Compliance - Retrieve, review, and upload recorded deeds and supporting documents into the company database. - Ensure all closing documents meet company standards. - Send deeds for e-recording and track submission status through completion. - Maintain organized transaction files to support auditing, compliance, and future reference. Administrative Coordination - Prepare and route Purchase and Resale approvals. - Create shipping labels and coordinate outbound document packages when needed. - Assist the Closing Director with daily workflow management, prioritizing tasks based on urgency and deadlines. -Coordinate notary signings for closings Other Office Administrative Tasks -Manage Asset Service connections like power and gas -Review all incoming mail and prep for delivery to designated internal team members -Review property tax statements and coordinate taxes due in a timely manner Why Join Us?
