Requires leasing license, prior property management experience preferred, strong communication and organizational skills, and ability to work scheduled Saturdays and after hours events.
General Overview: Professional on site management company for apartment communities located in St Clair and Madison Counties in Illinois.The Property Management will be responsible for the overall success of the community while offering full service management with related leasing, accounting, operations, and maintenance coordination duties. Duties and Responsibilities: · Office hours to include Monday to Friday and rotating Saturdays. · Open and close the clubhouse at start and end of the shift. · Making sure the clubhouse, models and community areas are clean and presentable on a constant basis, including checking cleaning quality from the cleaners. · Performing walk in and scheduled tours for prospective residents, communicating and following up with prospective tenants via phone, text, and email. · Monitor chat messages via CRM and communicate with residents (this is an app so can be after hours and quick responses needed) · Monitor text messages in Rent Manager and respond quickly. · Monitor incoming emails and respond quickly – always same day if email is in more than 15 minutes before end of shift. · Check and distribute mail and packages accordingly. · Review and process applications to include income verification, criminal background checks and credit applications. · Execute leases within 24 hours of submission and collect respective fees within 24 hours of the lease signing. · Monitor and follow up on any rental delinquencies · Answer all telephone calls and emails same business day when received during business hours; documenting all communications into software program. If received after 5pm, call back by 10am the next business day. · Inspect interior and exterior common areas multiple times per day to make sure cleaned and organized and no issues included but not limited to trash left in the halls and supplies are filled · Receive and manage any correspondence from residents such as maintenance request, complaints, move out notices, etc. · Schedule and coordinate maintenance service issues, including working with KWG to schedule technician to come on site. · Review clubhouse camera footage as required. · Obtain reviews – manage/respond to and ask for reviews with a goal to get two Google review per week. · Monitor any on sight vendors to make sure performance is satisfactory to include quality of clubhouse cleaning, mowing and landscaping, snow removal, etc. · Perform inspections of apartments as required per lease or upon receipt of complaints to include but not limited to move in, move out, violation, and annual inspections. · Monitor parking & vehicles – No derelict or nonresident vehicles allowed to be parked on the lot for indefinite time frames. · Coordinate move ins to include walkthroughs, utility transfer and renters insurance confirmation plus payment receipts prior to move in appointment. Create welcome gifts and prep apartment binder, keys, fobs and garage opener if applicable. · Create regular and consistent Facebook posts to include action, content, and educational. · Accounts Payable – review, approve and pay bills several times per week to avoid late fees. · Rotate on after hours emergency calls – alternating weeks or months as decided by team. · Water plants and flowers regularly as needed in clubhouse. · Pool – straighten up pool furniture as needed, check pool condition, and every few hour spot checks of pool during office hours. · All other duties as assigned. · Schedule and plan resident events (held weekly and/or monthly). · Meet and review budget and leasing goals with team to ensure all expectations are met and communicating with ownership. · Plan and attend any business networking events. · Bank reconciliations for operating and security deposit account by 5th of each month. · Review financials and submit management report to owners by the 5th of each month for previous month. · Review and manage all lease renewals beginning 60 days out from expiration. Schedule annual walkthroughs prior to renewing. · Create monthly marketing plan to include regular Facebook posts. · Review and update Google and Facebook Ads per budget and traffic. · Review apartments.com and Zillow marketing and review annual contracts. · Adjusting clubhouse door schedule as needed for holidays when the leasing office is closed during regular business hours. · Monitor inventory for clubhouse snacks and drinks – ordering as needed and making sure supply is not being abused in any fashion. · All other duties as assigned. · Schedule and coordinate quarterly pest control and annual maintenance such as sprinkler start up/winterize, sprinkler system inspections. · Create annual budget and submit to ownership by November 1st of each year. · All other duties as assigned. · Manage and approve decisions for any promotional items /welcome gifts, photos and videos of the community, networking and marketing items, updates to the website, Twitter, Instagram, marketing campaigns, Facebook posts, digital ads, signs/banners, printing material (brochures, etc.), and any other marketing and social media advertising strategies. · Continuous research on ideas and programs to always elevate the community experience for our client and customers. · Continuing education and training to ensure growth and empowerment as an individual to help improve the community experience for team members, clients and customers. · All other duties as assigned. Qualifications: · Illinois Leasing Agent license or Brokers License with Knowledge of License and Fair Housing Laws within 60 days of hire date. · Prior property management experience preferred but not required. · Ability to create and provide a welcoming, desirable atmosphere that embraces all prospect(s) and resident(s). · Ability to negotiate and execute contracts – attention to detail in proofing all documents prior to signing. Understanding of importance of compliance. · Problem solving and conflict resolution skills; delicate handling of tenant complaints · Ability to learn and utilize Rent Manager and other software programs to the fullest efficiency · Detailed understanding of lease terms and application process · Ability to communicate and ask good questions to be an effective liaison between team members, clients, and customers · Ability to communicate effectively and follow up verbal, written, and orally with good grammar skills · Ability to be well organized, proactive and detail oriented to create the ability to multi task on a regular basis · Willingness and ability to have tough conversations in a polite and professional way, even when uncomfortable to do, as needed while managing residents, prospects, and vendors. · Business casual dress attire · Ability to work scheduled Saturdays from 9 to 1 with the following Monday off. · Ability to work scheduled after hours resident events - planned month+ in advance. · Must show up on time and work through complete shift. Schedules: · These can be altered at anytime given needs of community owner and per Manager’s direction. · Saturdays: On the week you work Saturday, you will be off the Monday of that week. (Tuesday to Saturday schedule every other week). · Office hours: Monday to Friday 9 to 5; Saturdays 9 to 1. · Consideration given for a compensation package to include rental discount, if willing to live on site.
