Position Summary The Audio Visual Project Manager is a key operational role responsible for overseeing the execution of AV installation and integration projects projects across technical and regulated environments. Reporting to the division leadership, this role ensures projects are delivered on time, within budget, and to client specifications, while adhering to industry standards. The Project Manager coordinates resources, manages schedules, mitigates risks, and maintains client relationships, adapting to the unique needs of each AV project. Success is measured by project profitability, team accountability, client satisfaction, and adherence to high-quality service standards. Key Responsibilities 1. Project Planning and Scope Management • Build accurate quotes and project plans for AV projects, reviewing scopes to identify gaps, define margins, and align with client requirements. • Conduct pre-project meetings and kick-offs to set expectations, confirm timelines, and create detailed Gantt schedules using project management tools. • Create schedule requests, assign resources, and forecast needs to support project pipelines. • Develop submittals, RFIs, and change orders to address scope adjustments, ensuring compliance with client and industry standards. 2. Resource and Logistics Coordination • Book travel, procure materials, and provision onsite tools and equipment. • Hire, manage, and coordinate subcontractors as needed. • Collaborate across teams to allocate skilled personnel, updating certifications and skillsets to meet project requirements. 3. Execution, Monitoring, and Risk Management • Oversee onsite activities, generating daily reports, updating schedules, and tracking budget/timeline deviations proactively. • Manage safety protocols, including site-specific risk assessments and mitigation measures. • Approve timecards, expenses, and documentation, resolving issues through RFIs and corrective actions while maintaining quality and service standards. • Promote team collaboration, accountability, and a culture of excellence. 4. Client Relationship and Financial Oversight • Manage client expectations through clear communication, relationship building, and regular updates. • Support invoicing, project closeouts, and financial tracking, monitoring costs and reporting variances for profitability alignment. • Lead project closeouts with handover documentation for seamless transitions. 5. Compliance and Continuous Improvement • Ensure compliance with industry regulations, safety standards, and client requirements. • Contribute to process improvements and reporting enhancements using project management tools. • Participate in client support initiatives to showcase technical expertise and project successes. Qualifications Education: Bachelor’s degree in Project Management, Engineering, Business Administration, Audiovisual Communication or related field preferred; associate’s degree with equivalent experience considered. Experience: • Minimum 5 years in project management within AV integration, field service, installation, or technical project environments. • At least 2 years focused on AV-specific projects or related technical services. Project Management Skills: • Expertise in scope review, scheduling, resource assignment, risk assessment, and financial tracking to ensure on-time, on-budget delivery. Technical Proficiency: • Proficiency in project management software (e.g. Microsoft Planner), estimating tools, and Microsoft Office Suite. • Familiarity with CRM systems, compliance tracking, and AV technologies is a plus. Interpersonal Skills: • Strong communication and relationship management to collaborate with clients, subcontractors, and technical teams in high-pressure settings. Personal Attributes: • Organized, detail-oriented, proactive, and committed to safety and team culture. Other Requirements: • Willingness to travel up to 25% for onsite management and client meetings. • Valid driver’s license required. Preferred Skills • Prior experience with AV integration, system upgrades, or technical project management. • Proven track record in change order management, variance reporting, and handover documentation. • Certifications such as PMP, CTS, or industry-specific standards are advantageous.
