Overview K&L Wine Merchants is in search of our HR Operations Manager. You will be a hands-on, execution-focused HR leader responsible for building and managing the operational backbone of our People function across a multi-state wine & spirits retail business. In this role, you will partner directly with the Chief People Officer to design, streamline, and operationalize compliant HR processes; ensure accurate and on-time multi-cycle payrolls; maintain and audit HRIS data; and support all key HR administrative areas. Key Responsibilities HR Operations & Compliance • Document and maintain compliant HR processes, standard operating procedures, and workflows. • Ensure accuracy and consistency in our HRIS data. • Implement automation and self-service HR solutions to reduce manual processes and streamline HR processes administration, ensuring accuracy and efficiency. • Ensure compliance with federal, state, and city regulations across multiple jurisdictions. • Conduct data analysis to inform HR strategies related to staffing levels, turnover rates, engagement scores, and other key metrics. Payroll Administration • Own end-to-end payroll cycles: weekly hourly, bi-weekly hourly, and bi-weekly salaried payrolls. • Validate timekeeping, pay rates, PTO balances, payroll related accruals and job changes. • Reconcile payroll reports with Finance and ensure 100% accurate and on-time payroll delivery. Benefits, Leave & 401(k) Administration • Manage benefits enrollment, QLEs, and employee inquiries. • Administer all leave programs (FMLA, NY PFL, PDL, company LOAs). • Administer 401(k) eligibility, deductions, and vendor file feeds. • Coordinate workers’ comp claims and OSHA reporting. HRIS SME, Data Accuracy & Process Improvement • Serve as HRIS subject matter expert. • Support the auditing, cleaning and maintenance of systems data accuracy. • On-time processing and maintenance of employee information in HR, Payroll, Timekeeping, Benefits, Retirement and Learning systems in an effort to consistently maintain reliable accurate employee data and insights at all times. • Support initiatives aimed at creating improvements and enforcing compliance. • Maintain and update HR SOPs library and apply and enforce published HRIS systems SOCs. Employee & Manager Support • Provide support and guidance on policies, benefits, processes, and workflows. • Partner cross-functionally across the company including workflows collaborating partners in Finance, IT, and Store/Operations leadership. • Oversee employee onboarding and orientation programs to ensure seamless integration and engagement from day one. • Coordinate training & development initiatives to enhance skills across teams and prepare employees for future roles through leadership development programs. • Manage employee programs that promote a positive work environment and uphold company values. Required Qualifications • Bachelor’s degree in HR or related field. • Payroll or HR certification a plus. • 8 years of progressive HR experience, with at least 2 years as a Generalist. • Experience supporting hourly retail, hospitality or warehouse operations workforce. • Experience supporting hourly employees in retail or warehouse environments. • Experience supporting CA and NY hourly employees, with an understanding of State and Local employment, and wage & hour laws. • Extensive knowledge of employment & labor law as well as OSHA regulations to ensure legal compliance across all HR practices. • Experience managing multi-cycle payroll (weekly, bi-weekly, commissions, off-cycle) • Excellent communication skills with the ability to present complex information clearly to diverse audiences including senior leadership. • Ability to handle sensitive situations with tact while maintaining confidentiality; conflict management skills are vital. • Strong HRIS experience (Paylocity, BambooHR, ADP WFN) .Join us in shaping a best place to work environment !
