About the Role Kevin’s Song is seeking a highly organized, detail‑oriented, and mission‑driven Operations & Engagement Manager to support and strengthen the financial, administrative, communications, and event functions of our growing nonprofit. This full‑time position plays a central role in donor and financial management, volunteer coordination, social media and outreach, and the planning and execution of major events—including our Annual Suicide Prevention Education Summit and Starry, Starry Night gala. The ideal candidate is a proactive multitasker with strong communication skills, technical proficiency, and a passion for supporting mental health and suicide prevention initiatives. Key Responsibilities Financial & Donor Management • Record donations and maintain accurate financial records using DonorSnap and QuickBooks Online (QBO) • Reconcile bank accounts and prepare monthly donor acknowledgments • Enter and process invoices, track expenses, and assist with 1099s and year‑end reporting • Coordinate with CPA; communicate with Intuit and IRS as needed • Maintain donor databases and compile donor lists for publications and events Communications & Social Media • Develop and manage a social media calendar; create graphics and content using Canva • Lead Giving Tuesday and other campaign efforts; compile engagement analytics • Proofread newsletters, e‑blasts, and event materials • Maintain and update mailing lists and email contacts in MailChimp Volunteer & Resource Coordination • Recruit, schedule, and communicate with volunteers for events and outreach • Maintain volunteer and resource table inventories; organize materials and displays • Attend and support community resource events; manage sign‑ups and updates • Draft volunteer instructions and serve as point of contact during major events Event Planning & Logistics • Coordinate logistics for the Annual Summit and Starry, Starry Night gala • Manage platforms such as OneCause and Google Drive for event tracking and reporting • Book vendors, travel, entertainment, and services; oversee event setup and breakdown • Draft run‑of‑show documents, seating charts, and meeting minutes • Support registration, auctions, breakout sessions, and Memorial Forest setup Administrative Support • Monitor and respond to emails and texts, including occasional off‑hours needs • Organize storage unit inventory and retrieve event materials • Maintain accurate records and assist with general troubleshooting • Take detailed minutes during Board of Directors meetings and prepare final documents • Create and distribute monthly digital newsletters • Provide direct support to the Executive Director Grants & Funding Support • Research grant opportunities and track deadlines • Prepare summary reports and updates for leadership Qualifications • Bachelor’s degree in Communications, Nonprofit Management, Accounting, or related field preferred (new graduates encouraged to apply) • Experience in financial administration, donor management, or event coordination • Proficiency in QuickBooks Online, DonorSnap, Canva, MailChimp, OneCause, and Google Drive • Strong writing, editing, and proofreading skills • Excellent organizational, interpersonal, and multitasking abilities • Ability to work independently and collaboratively in a fast‑paced, mission‑driven environment • Availability for occasional nights and weekends
